SUMMARY OF JOB DESCRIPTION:
Serves as the primary administrator of student records and enrollment processes. Responsible for student data management, scheduling, attendance, and reporting while providing excellent customer service to students, families, and staff. Ensures compliance with district, state, and federal regulations regarding student records and data confidentiality.

ESSENTIAL JOB ELEMENTS:
Enrollment & Records Management
- Manage all student enrollment and withdrawal processes.
- Maintain accurate and complete student records, including transcripts and transfer documentation.
- Ensure proper documentation and compliance for all active and inactive student files.
- Process records requests and transfers in and out of the district.
Data Management & Reporting
- Maintain and update the student information system, including demographics, attendance, scheduling, and state reporting data.
- Generate reports for administration (attendance, truancy, grades, transcripts, eligibility, etc.).
- Participate in required training related to student data systems and reporting.
Scheduling
- Collaborate with administration to build and maintain the master schedule.
- Schedule students and manage schedule changes throughout the school year.
Attendance & Truancy
- Maintain accurate attendance records.
- Monitor and report truancy data; communicate with families regarding attendance concerns and processes.
Front Office & Customer Service
- Greet and assist visitors, students, parents, and staff in a professional and welcoming manner.
- Ensure all visitors follow school security protocols (sign-in, badges, etc.).
- Support overall office operations and maintain a positive environment.
Communication & Collaboration
- Collaborate with school staff, district departments, and external agencies.
- Support school communications, which may include newsletters, website updates, social media, and messaging systems.
- Provide translation/interpretation support when applicable.
Health Room Support
- Administer first aid and medications under the direction of the school nurse when needed.
- Monitor students referred for illness or disciplinary concerns to ensure safety.
General Office Duties
- Perform clerical tasks including data entry, filing, copying, and supply management.
- Utilize office software (Google Workspace, Microsoft Office, etc.) and database systems effectively.
- Support additional duties such as lunch/recess supervision as assigned.
General Responsibilities
- Maintain confidentiality and security of all student information.
- Adapt to changing priorities and deadlines in a fast-paced environment.
- Perform other duties as assigned.

QUALIFICATIONS:
- High school diploma or equivalent.
- Minimum of one (1) year of office or administrative experience.
- Strong computer skills, including proficiency in Google Workspace or Microsoft Office (especially spreadsheets).
- Experience with database systems or student information systems preferred.
- Strong attention to detail and organizational skills.
- Effective communication and interpersonal skills.
