Randstad Türkiye is seeking an experienced Executive Assistant to support the Chairman and executive team. The role involves comprehensive calendar management, meeting coordination, and meticulous documentation and reporting.
You will arrange domestic and international travel, prepare briefing materials, and ensure smooth information flow between internal departments and external partners. Fluency in English and Turkish, discretion, and flexibility are essential.
We are currently seeking an "Executive Assistant" for our business partner operating in the healthcare sector, for whom we provide consultancy services.
Create the daily, weekly, and monthly calendar for the Chairman of the Board; schedule and prioritize meetings and appointments.
Organize Board of Directors and senior management meetings; prepare meeting agendas, necessary information, and documents.
Provide end-to-end organization for Executive Board meetings, including agenda, participant, schedule, and document preparation; manage the meeting process, record discussed topics and decisions made, and follow up on determined actions.
Document meeting notes and decisions; ensure timely completion of assigned actions by the relevant departments.
Coordinate tasks and requests conveyed by the Chairman of the Board to departments, and regularly report the current status of processes.
Prepare reports, presentations, research, analysis, and briefing documents required by the Chairman of the Board.
Efficiently manage the flow of information and communication between internal departments and the Chairman of the Board.
Coordinate meetings and interactions with external stakeholders, business partners, public institutions, and other professional contacts.
Plan domestic and international trips end-to-end, including transportation, accommodation, transfers, meetings, and visit schedules.
Accompany the Chairman of the Board on business trips, meetings, and corporate events when necessary.
Manage incoming phone calls, emails, invitations, and correspondence according to importance and priority.
Ensure all documents belonging to the Office of the Chairman are archived in an orderly, up-to-date, secure, and accessible manner.
Professionally coordinate protocol, guest reception, corporate invitations, and special event processes.
Bachelor's degree from a university.
Minimum 5 years of experience as an Executive Assistant (EA/PA) to high-level executives such as Chairman of the Board, Board Member, CEO, or General Manager.
Advanced level of written and spoken English.
Proficient in using MS Office programs.
Experienced in reporting, preparing presentations, meeting documentation, and task tracking.
Able to adapt to dynamic working environments and possessing strong empathy skills.
Strong agenda and time management skills, capable of prioritizing and managing multiple tasks simultaneously.
Advanced written and verbal communication skills, with fluent and proper use of Turkish.
High representation capacity, attentive to professional appearance and communication etiquette.
Detail-oriented, planned, systematic, and result-oriented worker.
Able to take initiative, quickly adapt to changing conditions, and produce solutions.
Possessing a high sense of confidentiality, reliability, and responsibility, with the ability to adapt to flexible working hours.
No restrictions for domestic and international travel.
