Çalık Renewables is the dedicated renewables and energy transition platform of the Çalık Group, operating across 30 countries. Building on a legacy dating back to 1994, we actively develop and operate renewable and energy transition projects in Europe and select international markets. Our operations are driven by three core pillars: Renewables, Green Trading, and Energy Transition.
Our current operational capacity stands at 453 MW across solar, wind, and hydro assets in markets including Poland, Kosovo, and Türkiye and our target is to reach 1,500 MW operational capacity by 2030. Our growth strategy relies heavily on inorganic growth through strategic company and project acquisitions in Europe; therefore, we anticipate a high volume of M&A activity over the next 3 years, making this a critical and highly impactful phase of our expansion.
About the Role
Responsible of establishing and maintaining a document control system to ensure the creation, revision, distribution, and secure archiving of all company documents. This role enables standardized, secure, accurate, and complete document information flow among departments, projects, and operational units in compliance with applicable standards and organizational requirements.
Key Responsibilities
System Establishment and Operations
- Design, manage, and continuously improve the company’s document control processes, including document structuring, revision management, numbering systems, workflow approvals, and distribution standards, ensuring standardized information flow across all departments.
Integrated Management Systems Support
- Coordinate documentation activities related to the establishment, implementation, internal/external audit planning, and nonconformity closure processes of Quality, Environmental, Occupational Health & Safety, Information Security, and Energy Management Systems (ISO standards).
Technical Project and Records Management
- Maintain and manage technical drawings, engineering documents, as-built drawings, calculation reports, manufacturer data sheets, contracts, and payment/progress claim documents within a structured and up-to-date document management system.
Revision and Up-to-Date Control of Documents
- Ensure that obsolete or superseded documents are withdrawn from both electronic systems and physical points of use, guaranteeing that only the latest approved versions are utilized in operations and on-site activities.
Archiving and Information Security
- Manage the physical and digital archiving of all critical records, including quality records, certificates, legal correspondences, and corporate documents, in compliance with legal data/record retention requirements and Data Protection regulations (including KVKK/GDPR). Control confidentiality and access permissions for sensitive information.
Corporate Correspondence Management
- Manage all incoming and outgoing correspondence/document processes on behalf of the company and ensure timely distribution to relevant stakeholders.
Qualifications
- Bachelor’s degree from a university (preferably in Information and Records Management or a related field),
- Minimum of 8 years of experience in information and records management, archiving, and document control,
- Fluency in English (both written and verbal),
- Thorough knowledge of ISO 9001, ISO 14001, ISO 45001, ISO 27001, and ISO 50001 Integrated Management System standards and documentation requirements
- (Preferably certified as an Internal Auditor for these management systems),
- Proficient in using Aconex, M-Files, OpenText, SAP, SharePoint, MS Office, and Excel,
- Experience in document control for Renewable Energy or large-scale industrial construction (EPC) projects,
- Hands‑on experience with document numbering systems, revision tracking, method statements, and technical reporting processes,
- Proven experience in establishing and managing incoming and outgoing correspondence/document management systems within a company,
- High level of attention to detail and responsibility, ensuring full compliance with Personal Data Protection (KVKK) and Information Security standards. (KVKK/GDPR).
- Advanced knowledge of EDMS (Electronic Document Management Systems) such as Aconex, SharePoint, OpenText, M-Files, QDMS, etc.
- Strong understanding of documentation structures and requirements for Integrated Management Systems standards (ISO 9001, ISO 14001, ISO 45001, ISO 50001, ISO 27001, etc.).
- Fluency in English for managing international contracts, technical specifications, and projects involving foreign partners.
- Advanced proficiency in MS Office applications and EDM systems.
