Duties and Responsibilities
Pre-Training Logistics & Administration
- Broadcast of training: Assist Training director to develop flyers to promote course, course description, prepare and send broadcast to all stakeholders.
- Venue & Schedule Management: Coordinate with internal or external trainers to confirm training dates; check venue availability and book training facilities.
- Participant Nominations: Prepare standard HR attendance templates, dispatch nomination requests to site Heads of Department (HODs), and actively follow up to secure adequate participant headcount.
- Data Verification: Cross-check participant full names and Staff IDs with HR database records and HODs to ensure 100% accuracy for attendance lists.
- Operations Coordination: Communicate with the Operations Manager at least one week prior to set up required seating arrangements and room layouts.
- Reminders & Communications: Dispatch timely reminder notifications to site HODs and nominated employees one week prior to training sessions.
On-Site Execution & Facilitation
- Attendance Tracking: Print official attendance nomination sheets and take physical roll calls on the training day. If QR attendance available to collate from MS Form to download attendance. No physical roll required.
- Classroom Readiness: Verify venue readiness (audio/visual equipment, projector, flipcharts, seating arrangement, and materials) prior to trainer arrival.
- On-Site Support: Act as the main point of contact during sessions to address trainer needs, facility issues, or participant inquiries.
Post-Training & Compliance Administration
- Certificate Management: Prepare, print, and disburse official certificates of completion based on verified attendance logs. Only necessary upon request for CPE submission if group roll call has left out any individual.
- Record Keeping: Log attendance data and completed training hours into the HRIS database for internal audits and compliance.
- Feedback Collection: Distribute and compile post-training evaluation forms to assess course effectiveness. To download the online generated feedback to file.
- Evaluation follow-up: Discuss with trainers, liaise with HOD on evaluation feedback results to surface any issues or training gaps, topics and address accordingly for improvement.
Management Responsibilities:
- Assist Training Director to lead and manage the Training Department team.
- Establish and report on departmental goals, KPIs, and work plans.
- Drive a culture of continuous learning and professional development.
- Prepare and manage the department's annual training plan, budget.
- Monitor expenditure and optimise training resources.
Training Strategy & Workforce Development
- Conduct organisation-wide Training Needs Analysis (TNA) by engaging HODs, Managers, Nursing Leaders, HR to identify competency gaps, operational challenges and future workforce capability requirements.
- Recommend appropriate learning interventions to address identified competency gaps.
Stakeholder Engagement
- Build strong working relationships with all HODs, Managers, Nursing Leaders, HR to understand operational challenges and identify current and future training needs.
- Facilitate discussions with departments to review post-training outcomes, identify learning effectiveness and recommend further interventions where necessary.
- Work collaboratively with department leaders to ensure training programmes remain relevant to operational needs and service quality improvement.
Training Evaluation & Continuous Improvement
- Evaluate the effectiveness of training programmes using recognised evaluation frameworks.
- Analyse training feedback, competency assessments and departmental performance indicators to measure learning impact. Give summary reports.
Learning Management & Compliance
- Oversee the implementation and administration of the Learning Management System (LMS).
- Monitor mandatory training completion and compliance across all departments.
- Maintain competency records to support audits, accreditation and regulatory requirements.
- Ensure training records are accurate and audit ready.
