Job summary

UpMan Placements in Singapore seeks a Trade Operations Executive to manage end-to-end international trade transactions, ensuring LC compliance, timely documentation, and smooth coordination with buyers, banks, carriers, and warehouses.

You will prepare Proforma Invoices, monitor LC terms, finalize POs and cargo readiness, negotiate freight, arrange shipment, and submit documents for bank negotiation after Buyer confirmation.

Qualifications

• Bachelor’s degree in a related field such as International Trade, Business Administration or Logistics.
• 3–5 years of experience in trade operations, export documentation or international logistics.
• Strong knowledge of Letter of Credit (LC) procedures and international shipping documentation.

Responsibilities

• Prepare Proforma Invoices once deals are finalized and send to Buyers.
• Follow up on counter-signed Proforma Invoices and payment terms including LC drafts.
• Review LC terms and request amendments for non-compliant clauses.
• Finalize purchase orders and cargo readiness dates after LC confirmation.
• Negotiate freight rates and schedules with shipping lines and arrange shipment.
• Coordinate with warehouses and hauliers to collect and dispatch cargo.
• Provide booking confirmations and ETAs to hauliers for cargo loading.
• Prepare and verify export documentation (Invoices, Packing Lists, Certificates of Origin, Draft BLs, etc.).
• Submit shipping instructions and finalize Bills of Lading with shipping lines.
• Share draft documents with Buyers for confirmation and tracking.

Job description

The Trade Operations Executive is responsible for managing the end-to-end execution of international trade transactions. This role ensures compliance with contractual terms, timely documentation, and smooth coordination with internal and external stakeholders, from deal finalization to payment receipt.

Duties and responsibilities

• Prepare Proforma Invoices once deals are finalized by the Sales team and send them to Buyers.
• Follow up on counter-signed Proforma Invoices and payment terms, including LC drafts.
• Review LC terms and conditions; request amendments for non-compliant clauses.
• Finalize purchase orders and cargo readiness dates upon confirmation of workable LCs.
• Negotiate freight rates and schedules with shipping lines; arrange shipment accordingly.
• Coordinate with warehouses and hauliers to collect and dispatch cargo.
• Provide booking confirmations and ETAs to hauliers for cargo loading.
• Prepare and verify export documentation (Invoices, Packing Lists, Certificates of Origin, Draft BLs, and other LC-compliant documents).
• Submit shipping instructions and finalize Bills of Lading with shipping lines.
• Share draft documents with Buyers for checking and confirmation.
• Arrange freight settlement and collect Original Bills of Lading from shipping lines.
• Submit final documents to the Bank for negotiation after Buyer confirmation and share courier tracking details.
• Monitor and follow up with Buyers until payment is received under LC terms.

Qualifications

• Bachelor’s degree in International Trade, Business Administration, Logistics, or a related field.
• 3–5 years of experience in trade operations / export documentation / international logistics (commodities or related industry preferred).
• Strong knowledge of Letter of Credit (LC) procedures and international shipping documentation.
• Proficiency in MS Office (Excel, Word, Outlook).
• Excellent coordination, communication, and follow-up skills.
• Ability to work under pressure with attention to detail and accuracy.
