Role Summary
We are seeking an experienced and proactive Tenancy Management Lead to lead a tenancy management team. The role is responsible for overseeing tenancy operations, maximising occupancy, managing tenant relationships, driving leasing and marketing initiatives, and ensuring effective administration of tenancy-related matters across the portfolio.
The successful candidate will play a key role in enhancing utilisation of the property portfolio while maintaining excellent tenant experience and operational efficiency.
Key Responsibilities
Tenancy & Occupancy Management
- Manage the full tenancy lifecycle, including tenant sourcing, onboarding, renewals and exits.
- Develop and implement strategies to maintain healthy occupancy levels and maximise utilisation of available spaces.
- Monitor tenancy performance and provide recommendations to improve occupancy and rental returns.
- Review tenant mix and identify opportunities to strengthen the portfolio.
Leasing & Marketing
- Drive marketing and promotional efforts to attract suitable tenants.
- Conduct market assessments and identify potential leasing opportunities.
- Engage prospective tenants and facilitate leasing discussions.
- Support rental reviews and market positioning exercises.
Tenant & Stakeholder Management
- Serve as the key point of contact for tenants and stakeholders.
- Build and maintain positive working relationships with tenants.
- Address tenancy-related enquiries, issues and feedback promptly and professionally.
- Coordinate with internal departments and external stakeholders on tenancy matters.
Lease Administration & Financial Management
- Oversee preparation, administration and maintenance of tenancy agreements and related documentation.
- Ensure timely billing, invoicing and rental collection.
- Monitor arrears and follow up on outstanding payments.
- Maintain accurate tenancy records, reports and databases.
- Ensure compliance with tenancy policies, procedures and regulatory requirements.
Team Leadership
- Lead, manage and develop the tenancy management team.
- Establish clear processes, work procedures and service standards.
- Monitor team performance and drive continuous improvement initiatives.
- Foster a collaborative and service-oriented culture within the team.
Requirements
- Degree or Diploma in Property Management, Real Estate, Business Administration or related discipline.
- Minimum 5 years of relevant experience in tenancy management, property management, leasing or estate management.
- Experience managing commercial, industrial, retail or mixed-use properties would be an advantage.
- Proven ability to manage tenancy operations and stakeholder relationships.
- Strong understanding of lease administration, rental management and billing processes.
- Demonstrated experience in leading or supervising a team.
- Good analytical, communication and negotiation skills.
- Proficient in Microsoft Office applications and tenancy/property management systems.
