About the Organisation

About the Role

This is an exceptional opportunity for a high‑calibre administrative professional to join the Family Office’s established Singapore office. You will work closely with senior management and the wider global support team, contributing to a fast‑paced, dynamic environment where no two days are the same.

The role is ideal for a resilient, proactive self‑starter with a strong work ethic, exceptional attention to detail, and the ability to juggle multiple priorities. You will collaborate closely with the organisation’s Executive Assistant pool and provide seamless support across a wide range of administrative and operational activities.

Key Responsibilities
Diary & Meeting Management
  • Day‑to‑day diary management and scheduling across multiple time zones.
  • Coordinating internal and external meetings, including room bookings and logistics.
  • Greeting guests, preparing meeting rooms, arranging refreshments, managing technical setup, and ensuring rooms are cleared post‑meeting.
Secretarial & Administrative Support
  • Preparing, formatting and proofreading business documents.
  • Coordinating meeting attendance and committee support.
  • Managing expenses and reporting.
  • Providing general administrative support to senior team members.
Travel Coordination
  • Organising international travel, including flights, accommodation, visas and itineraries.
  • Managing travel documentation and ensuring cost‑effective arrangements.
Office Management
  • Ensuring the office is maintained to a high standard.
  • Managing supplies, post, vendor relationships and general office operations.
  • Acting as the main point of contact for day‑to‑day administrative queries.
Event Management & Corporate Gifting
  • Supporting internal and external events, including team socials, offsites, networking and corporate functions.
  • Assisting with annual and ad‑hoc corporate gifting cycles.
Client Administration
  • Handling administrative requests such as post, travel and gifting.
  • Supporting ad‑hoc project work and maintaining CRM records.
  • Providing operational support across investment‑related and general administrative tasks.
Skills & Requirements
  • Degree or college is essential
  • Minimum 2 years’ professional experience (financial services advantageous but not essential).
  • Fluency in Business English and Cantonese is essential.
  • Strong proficiency in Microsoft Office, especially Outlook.
  • Highly resourceful, adaptable and resilient.
