Our client is seeking an organized, resilient, and proactive #AdministrativeAssistant (Team Support) to deliver high-level administrative and operational assistance to executive leadership and department operations. This role requires handling competing priorities, managing sensitive data discreetly, and ensuring efficient cross-functional alignment in a fast-paced environment.

Team Administrative Assistant (6-Month Contract - Highly Renewable!)
Employment Type:
Full-time (40 hours/week, 10:00 AM – 7:00 PM; flexible/extended hours as required)
Responsibilities
- Oversee executive scheduling, resolve calendar conflicts, and maintain complete visibility over upcoming leadership engagements.
- Organize internal and cross-departmental meetings, including setup, virtual links, agenda preparation, document distribution, and action-item tracking.
- Handle end-to-end travel logistics, including flight bookings, detailed itineraries, visa processing, and expense management.
- Process expense reimbursements, compile claims, monitor payments, and assist with general invoicing needs.
- Draft and edit key communications, presentation decks, operational reports, and leadership documentation.
- Act as a central point of contact between executive offices, department members, and key external stakeholders.
- Maintain confidential records and support general team operations, including onboarding activities, venue sourcing, and ad-hoc department initiatives.
Requirements & Qualifications
- Bachelor's Degree or equivalent
- 2 to 3 years of experience in an administrative, team coordination, or executive support role.
- Proven proficiency with digital productivity tools (Microsoft Office or Google Workspace).
- Outstanding time management and organizational capabilities with strong attention to detail.
- Excellent written and verbal communication skills, with confidence interfacing with senior leaders.
- Demonstrated discretion when handling confidential information.
- Ability to work autonomously and manage ambiguity with minimal direct supervision.
