Job summary

ELM FLOWERS SHIPPING AGENCY PTE. LTD. in Singapore seeks a Vessel Operations Coordinator to manage port calls, coordinate with ICA, MPA and terminal operators, and ensure smooth pre-arrival and post-departure formalities for ships.

You will maintain documentation, monitor berths and schedules, and liaise with clients and vessel masters to deliver reliable service. Fresh graduates are welcome, with a focus on organized, independent work and strong communication.

Qualifications

• Knowledge of port, immigration and customs regulations in Singapore.
• Ability to work independently and manage multiple vessel calls.
• Strong communication and interpersonal skills.
• Organized and detail-oriented with multitasking ability.

Responsibilities

• Coordinate pre-arrival and post-departure arrangements for vessels.
• Liaise with ICA, MPA, terminal operators and private wharves for crew formalities.
• Monitor port schedules and berth availability for timely updates.
• Maintain accurate documentation (arrival/departure reports, DA submissions, statements of facts).
• Track invoices, charges and operational costs for billing.
• Provide 24/7 operational support during vessel port calls on a rotational basis.
• Develop and maintain relationships with shipmasters, clients and vendors for smooth communication and service delivery.

• Coordinate pre-arrival and post-departure arrangements for vessels.
• Liaise with Immigration & Checkpoints Authority (ICA),Maritime and Port Authority of Singapore (MPA), terminal operators, and private wharves for crew-related formalities and vessel clearance.
• Monitor port schedules and berth availability to provide clients with timely updates.
• Maintain accurate documentation (e.g., arrival/departure reports, DA submissions, statements of facts).
• Track and follow up on invoices, charges, and operational costs to ensure proper billing.
• Provide 24/7 operational support during vessel port calls on a rotational basis.
• Develop and maintain strong relationships with shipmasters, clients, and vendors for smooth communication and service delivery.

Requirements

• Good knowledge of port, immigration, and customs regulations in Singapore
• Able to work independently and handle multiple vessel calls simultaneously
• Good communication and interpersonal skills - able to liaise confidently with clients and internal teams.
• Organized, detail-oriented, and capable of handling multiple tasks
• Proficient in Microsoft Office (Excel, Word); strong computer skills
