Role Overview
This role oversees end‑to‑end service operations, job planning, contract renewals, manpower deployment, and customer coordination. It also includes supervising staff, enforcing SOPs, reducing human errors, and supporting sales. The position is designed as the final stage before promotion to Assistant Service Manager.
Key Duties & Responsibilities
A. Service Operations Planning & Deployment
- Plan, schedule, and coordinate all service jobs, including on‑site deployment of technicians.
- Ensure proper allocation of manpower, tools, vehicles, and materials.
- Monitor job progress, resolve operational issues, and ensure timely completion.
- Maintain accurate service job records, daily logs, and operational documentation.
B. Service Contract Issuance & Yearly Renewal
- Prepare, issue, and manage yearly service contract renewals.
- Track contract expiry dates, renewal status, and customer follow‑ups.
- Liaise with customers to confirm renewal terms, pricing, and service scope.
- Ensure all contract documents comply with company standards and are properly filed.
C. SOP Enforcement, Manual Development & Training
- Develop, update, and maintain *Service SOPs*, workflow manuals, and operational guidelines.
- Ensure all service staff follow documented SOPs and safety procedures.
- Conduct periodic training sessions for technicians and junior staff on SOPs, job processes, and documentation accuracy.
- Implement corrective coaching to reduce human errors and improve service quality.
- Support internal audits and ensure compliance with ISO, safety, and operational standards.
D. Team Supervision & People Management
- Supervise service technicians and junior service staff in daily operations.
- Provide guidance, instructions, and performance feedback.
- Monitor staff competency and ensure readiness for job deployment.
- Enforce discipline, punctuality, and proper job reporting.
- Lead by example to build a strong, reliable service team.
E. Sales Support & Customer Engagement
- Work closely with the sales department to support quotations, proposals, and customer communication.
- Introduce and recommend company products, services, and maintenance packages.
- Assist sales in upselling opportunities through service insights and customer feedback.
- Handle customer enquiries and coordinate internal responses to ensure satisfaction.
F. Quality Control & Error Prevention
- Review service reports, calibration documents, and job sheets for accuracy.
- Identify workflow gaps and propose improvements to reduce errors.
- Implement preventive measures to ensure minimal or zero human mistakes.
- Maintain high standards of documentation, compliance, and service delivery.
G. Reporting & Administrative Support
- Prepare weekly/monthly service planning reports and operational dashboards.
- Update CRM, service logs, contract records, and job tracking systems.
- Assist management in operational planning, resource forecasting, and improvement initiatives.
