Job summary

Lightverse in Singapore is seeking a responsible and hands-on Operations Executive to oversee our daily warehouse and delivery operations in Singapore. You will ensure parcels are received, scanned, sorted, processed and dispatched, deliveries are completed on time, and operational issues are resolved promptly.

You will also be the main point of contact between the company, drivers, warehouse staff and clients.

Qualifications

• Experience in logistics, warehouse, delivery or operations.
• Able to use logistics or delivery management systems.
• Fluent in English; Mandarin is an advantage.
• Able to work independently in a fast-paced environment.

Job Summary

We are looking for a responsible and hands-on Operations Executive to oversee our daily warehouse and delivery operations.

The successful candidate will be responsible for ensuring that parcels are properly received, sorted, processed and dispatched, deliveries are completed smoothly, and operational issues are resolved promptly. The role will also serve as a key point of contact between the company, drivers, warehouse staff and clients.

Key Responsibilities

Warehouse Operations

• Oversee the day-to-day operations of the warehouse.
• Ensure incoming shipments and parcels are properly received, scanned, sorted and assigned.
• Ensure parcels are processed and dispatched according to the required timeline.
• Monitor pending, missing, damaged or incorrectly sorted parcels and follow up until resolution.

Delivery Operations

• Coordinate daily delivery operations to ensure deliveries are completed smoothly and on time.
• Monitor delivery progress and outstanding shipments throughout the day.
• Coordinate with drivers regarding delivery assignments, failed deliveries, urgent shipments and other operational issues.
• Follow up on unsuccessful or incomplete deliveries and arrange the appropriate next action.
• Ensure drivers follow delivery procedures, including scanning, status updates and Proof of Delivery (POD) requirements.
• Handle urgent delivery requests and operational changes when required.
• Work closely with the warehouse and drivers to minimize delivery delays and service failures.

Client & Customer Communication

• Communicate professionally with clients regarding shipment and delivery matters.
• Respond to client enquiries and provide accurate shipment or delivery updates.
• Handle complaints, delivery issues, missing parcels and other service-related matters.
• Coordinate internally with warehouse staff and drivers to investigate and resolve client issues.
• Keep clients informed when there are delays, exceptions or operational problems.
• Maintain good working relationships with clients through prompt and professional communication.

Operations Monitoring & Reporting

• Monitor daily operational performance, including pending deliveries, failed deliveries and outstanding issues.
• Ensure operational problems are properly followed up and closed.
• Prepare basic operational reports when required.
• Report recurring problems and recommend improvements to management.
• Assist management in improving warehouse efficiency, delivery performance and customer service standards.

Requirements

• Experience in logistics, warehouse, delivery or operations is preferred.
• Able to communicate effectively with clients, customers, drivers and warehouse staff.
• Good problem-solving and coordination skills.
• Able to work independently and take ownership of operational issues.
• Comfortable working in a fast-paced logistics environment.
• Able to prioritize urgent matters and handle multiple operational issues simultaneously.
• Basic computer literacy and ability to use logistics or delivery management systems.
• Good communication skills in English; ability to communicate in Mandarin would be an advantage due to chinese speaking clientele.
• Responsible, organized and detail-oriented.

Key Expectations

The Operations Executive is expected to take ownership of daily operations rather than simply perform administrative duties.
