Qualifications

• 8–10 years of relevant experience in secretariat operations or governance support.
• Advanced university degree in public administration, international relations, law, or related field.
• Experience in multilateral banks, international organizations, or similar institutions is highly desirable.
• Strong understanding of governance frameworks and board procedures.
• Ability to coordinate high-level meetings and manage sensitive governance documentation.
• Familiarity with digital collaboration tools and document management systems.
• Excellent written and verbal English communication.

Responsibilities

• Coordinate the preparation and organization of Board and Board Committee meetings, including agendas and logistics.
• Review and manage Board documentation for accuracy, completeness, and timeliness.
• Support the preparation of Board minutes, summary records, decisions, and follow-up actions.
• Serve as a focal point for communication between Board members, management, and business units.
• Monitor workflow and submission processes for Board documents and provide guidance.
• Maintain governance records, archives, and document management in line with standards.
• Support digital tools and platforms related to Board operations and Secretariat functions.
• Identify opportunities to improve governance processes and information management.
• Assist in developing Secretariat procedures and user materials; suggest process improvements.
• Assist onboarding and orientation for Board officials and Secretariat staff.
• Prepare reports, briefing notes, presentations, and analytics for Board activities.
• Coordinate with IT and other support teams on operational matters affecting Board operations.
• Perform other related duties as assigned by the supervisor.
