Job Description
We are looking for a Senior Executive, Facilities Management to lead and oversee daily facilities operations, maintenance activities and a team of Facilities Management staff in a dynamic operational environment.
The successful candidate will be responsible for ensuring safe, reliable and efficient facilities operations, while managing contractors, maintenance programmes, asset records, safety compliance and continuous improvement initiatives.
Key Responsibilities
Facilities Operations & Maintenance
- Lead and oversee daily facilities operations and maintenance to ensure reliable performance of building systems and assets.
- Plan and monitor preventive, corrective and predictive maintenance programmes.
- Coordinate technical troubleshooting, breakdown rectification and emergency response to minimise operational disruption.
- Conduct regular facilities inspections, audits and condition assessments, and follow up on improvement actions.
- Review maintenance records, asset performance and trends to support operational planning and continuous improvement.
Team Leadership
- Supervise, coach and provide guidance to a team of Facilities Management staff, including Executives, Supervisors and Officers.
- Allocate manpower and coordinate daily deployment to ensure adequate operational coverage.
- Monitor staff performance, attendance and adherence to company policies and safety requirements.
- Provide feedback and identify training and development opportunities for team members.
Contractor & Vendor Management
- Manage term contractors, service providers and vendors to ensure services are delivered according to contractual, operational and safety requirements.
- Monitor contractor performance, service levels, workmanship and completion of maintenance or upgrading works.
- Coordinate repair, replacement, alteration and upgrading projects while minimising disruption to operations.
- Support procurement, quotations, tender evaluations and contract renewal activities where required.
Safety & Compliance
- Ensure compliance with Workplace Safety and Health (WSH), fire safety, statutory and regulatory requirements.
- Conduct and monitor safety inspections, risk assessments, audits and compliance reviews.
- Develop and review SOPs, Safe Work Procedures and emergency response plans.
- Investigate facility-related incidents and near misses, and implement appropriate corrective and preventive actions.
Asset Management & Reporting
- Maintain accurate asset registers, maintenance records, statutory certificates and warranty documentation.
- Monitor asset performance and lifecycle requirements, and provide recommendations for renewal, upgrading or replacement.
- Prepare facilities maintenance reports, performance metrics and management updates.
- Support maintenance budgeting, forecasting and asset management planning.
Requirements
- Diploma in Facilities Management, Asset Management, Engineering, Building Services or a related discipline.
- Minimum 3 years of relevant experience in Facilities Management, building operations, maintenance or project management.
- Experience in facilities operations, maintenance and contractor/vendor management.
- Good understanding of WSH, fire safety, statutory compliance and risk management.
- Strong organisational, problem-solving and communication skills.
- Able to manage multiple priorities in a fast-paced operational environment.
- Experience supervising or leading facilities personnel will be advantageous.
- Relevant certifications such as WSH, Work at Height, Fire Safety Manager (FSM), BCA Green Mark, LEED AP or ISO 14001 will be an advantage.
Working Schedule & Shift Requirements
This is a rostered operational role requiring flexibility to work across different shifts.
- 5-day / 6-day work week on a 5/6/5/6 roster
- Earliest reporting time: approximately 6:45am
- Latest standard shift may end around 11:00pm
- $9 night shift allowance applies when work extends beyond 11:00pm
- Must be comfortable working weekends and public holidays
- No company transport is provided
