Job summary

PSB Academy Pte Ltd in Singapore seeks a proactive Course Planning & Scheduling professional for a 1-year contract. You will set up course schedules in the SMS, generate timetables, and coordinate deployment of academics with stakeholders within tight timelines.

You will manage resources (rooms, labs, lecturers) via scheduling systems, maintain course data across SMS, and keep a central database of associate lecturers and modules.

Qualifications

• Degree in any discipline, preferably in Business Management/Ops Management.
• 1-2 years of relevant working experience in the Private Education Industry.
• Meticulous with strong organizational and administrative skills.
• Self-motivated and able to work independently.
• A strong team player with customer-oriented mindset.
• Strong communication skills with the ability to liaise effectively with internal and external stakeholders.
• Able to prioritise multiple tasks, meet deadlines and maintain accuracy under pressure in a fast-paced work environment.
• Proficient in Microsoft Office applications.
• Experience using scheduling, timetabling or resource optimisation systems is an advantage.
• Willingness to work on weekends and occasional evenings when operationally required.

Responsibilities

• Set up the overall course schedule in the Student Management System based on approved course information from the School.
• Generate accurate course timetables using the scheduling system and release them to relevant stakeholders within the agreed timeframe.
• Work with the Assistant Head of School for deployment of full-time academics and Associate Lecturers.
• Communicate accurate schedule updates promptly to relevant stakeholders whenever changes occur.
• Liaise with vendors on outsourced services, including lecturer placement, contract issuance and payroll processing.
• Plan and manage resources, including rooms, laboratories and lecturers, using the Scheduling System to support smooth delivery of courses.
• Input, maintain and update course information to SMS and other applicable applications.
• Maintain up-to-date centralised database of registered Associate Lecturers, modules and courses they are approved to teach.
• Conduct briefings for newly approved and appointed lecturers as required.
• Liaise with ODQA to obtain and implement statutory updates affecting courses and Associate Lecturers.
• Liaise with Examination Centre to plan examination schedules for assigned modules in each examination block.
• Maintain complete and accurate documents and records to support compliance with applicable EduTrust Certification requirements.
