Job summary

Singapore General Hospital seeks a Senior Executive/Manager to oversee departmental operations, governance, data management, and cross-functional delivery within a fast-paced clinical environment.

You will own workplans, track milestones, coordinate across HR, Finance, IT and Facilities, supervise junior staff, and drive internal/external communications, events, and digitalisation initiatives to support clinicians and programme leaders.

Qualifications

  • For Senior Executives, general degree with 2–3 years of working experience.
  • For Senior/ Assistant Manager, general degree with preferably more than 5 years of experience.
  • Demonstrated ownership of departmental systems, preferably in healthcare or public sector.
  • Ability to manage competing priorities with autonomy and sound judgement.
  • Excellent written and verbal communication for diverse audiences.
  • Proactive, discreet, and able to engage across levels and with external stakeholders.
  • Experience with automation or digitalisation tools is a bonus.

Job description

Key Responsibilities
  • Departmental Operations

Take ownership of the department's operational tasks, ensuring that workflows, administrative systems, and internal processes are efficient, well-documented, and consistently applied. Periodically review and refresh departmental SOPs as the project evolves, and proactively identify operational gaps before they affect delivery. Serve as the primary liaison across HR, Finance, IT, and Facilities, exercising judgement and initiative in resolving issues.

  • Workplan, Milestone Tracking & Reporting of Projects / Initiatives

Own the respective Projects / Initiatives that you are tasked with and keep a master workplan tracker across all workstreams, maintaining a consolidated view of progress, milestones, interdependencies, and risks. Work closely with team leads to surface issues early and produce regular progress reports as applicable. Provide support to the team by anticipating what needs to happen next and where attention should be directed.

  • Data Management

Extract, prepare and analyse data to support the clinicians in their services, projects or initiatives.

  • Governance & Secretariat

Oversee the governance rhythm of the department, ensuring meetings are well-structured, purposeful, and followed through. Manage end-to-end meeting coordination, including agenda-setting, consolidation of inputs into structured meeting packs, production of accurate minutes, and maintenance of a live actions log. Provide updates directly to the Head of Department / Clinician leads and exercise judgement in surfacing issues that require senior attention.

  • Events, Workshops & Stakeholder Engagement

Lead the planning and end-to-end management of events, workshops, and engagement sessions, spanning internal team sessions, cross-functional working groups, and external stakeholder meetings or larger-scale events involving communications teams, facilities, and external parties.

  • Communications

Support the development and dissemination of internal and external departmental communications, ensuring updates and key messages are clear, timely, and appropriately calibrated for their audience. Assist in the preparation of external-facing materials and correspondence, and maintain a consistent standard of communication across the department's stakeholder touchpoints.

  • Finance, Compliance & People Administration

Oversee the departmental budget, monitor expenditure, manage procurement, and ensure variances are flagged and addressed in a timely manner. Ensure internal data compliance and coordinate with Finance, IT, and Compliance on reporting requirements. Lead recruitment coordination and serve as the primary HR liaison for onboarding and personnel matters.

Requirements
  • For Senior Executives, General degree with preferably 2 to 3 years of working experience.
  • For Senior/ Assistant Manager, General degree with preferably more than 5 years of working experience.
  • Demonstrated ownership of departmental systems, preferably in a healthcare, public sector, or complex project environment.
  • Proven ability to manage competing priorities, maintain rigour under pressure, and exercise sound judgement with a degree of autonomy.
  • Strong proficiency in Microsoft Office and document management systems; experience with project trackers is an advantage.
  • Excellent written and verbal communication skills, with the ability to produce clear, professional communications and reports for a range of audiences.
  • Proactive, resourceful, and discreet, with the interpersonal confidence to engage effectively across all levels and with external stakeholders.
  • Able to work independently and supervise junior administrative staff.
  • Experience in automation or digitalisation tools is a bonus.
