Job description

NTU Museum is seeking an Assistant Manager/Senior Executive, Exhibition to support the museum’s existing operations across exhibition coordination, programme administration, collections records, procurement and finance tracking, documentation, vendor coordination and public engagement support.

Responsibilities
  • Support coordination and administration of exhibitions, programmes, outreach activities and public engagement initiatives.
  • Assist in planning and delivery of exhibitions, including project coordination, schedules, logistics, installation, deinstallation arrangements, vendor coordination and documentation.
  • Support collections-related processes such as records management, archive documentation, object information, condition records, image files, loan documentation and related administrative follow-up.
  • Assist in maintaining accurate records for museum projects, exhibitions, collections, programmes, visitor engagement, publicity and other reporting needs.
  • Coordinate procurement and finance-related processes, including quotations, purchase requests, invoices, payment follow‑up and documentation in accordance with NTU policies.
  • Liaise with vendors, artists, designers, contractors, internal departments and external partners to support the smooth delivery of museum projects and programmes.
  • Provide administrative and operational support for museum programmes, workshops, talks, tours and other public‑facing activities.
  • Support preparation of proposals, reports, presentation materials, publicity information and other documents required for museum projects and stakeholder updates.
  • Assist with the organisation and documentation of artworks displayed in offices, public spaces and campus locations, coordinating installation, movement, labelling and related records.
  • Support review and improvement of museum workflows, records and administrative processes to strengthen day‑to‑day operational continuity.
  • Appointment title offered will be commensurate with candidate’s prior work experiences.
Qualifications
  • Bachelor’s degree in Arts, Arts Management or a related field.
  • Minimum 2–3 years of relevant working experience, preferably in museums, galleries, arts organisations, cultural institutions, education, public‑sector administration or related fields.
  • Strong administrative ability with great attention to detail, accuracy, follow‑through and record‑keeping.
  • Excellent communication and interpersonal skills, with the ability to liaise professionally with artists, vendors, colleagues, internal departments, external partners and members of the public.
  • Comfortable working with museum, art, cultural, heritage or educational content.
  • Good organisational and coordination skills, able to manage timelines, track multiple tasks and support several projects simultaneously.
  • Some knowledge of museum, gallery, archive, collections, exhibition or programme processes would be advantageous.
  • Familiarity with procurement, finance tracking, reporting, documentation or administrative workflows would be useful.
  • Able to work independently and collaboratively in a small team environment.
