About the Role

Working closely with the Senior Manager in the Division of Community Outreach & Philanthropy (DivCOP), you will oversee the Gift Management System (GMS) and leverage donor data to generate insights that support fundraising, donor cultivation and stewardship. You will also develop donor-facing reports and communications that demonstrate the impact of our donors' contributions, and support Major Gift stewardship activities.

Some of the Key Responsibilities Include
  • Prepare and clean-up data in existing database before export into new Gift Management System (GMS)
  • Import additional donor records not in the database into GMS
  • Establish formatting standards for database fields and ensure consistency data entries
  • Set up report templates and generate ad hoc reports as needed
  • Perform data extraction, analysis and visualisation to identify donor trends, giving patterns and opportunities for donor cultivation and development
  • Translate donor data and insights into actionable recommendations to support fundraising and donor engagement strategies, including identifying potential opportunities for increased giving and cultivation
  • Develop bespoke donor stewardship reports and communications for Major Gift (MG) donors, showcasing their contributions and impact
  • Support the development of the organisation's annual impact report and other donor-facing materials, ensuring clear, compelling and accurate presentation of information
  • Perform data extraction, design report layouts and create compelling visuals to support the department's management reporting and donor engagement needs
  • Review data collection sources and design processes to streamline and/or automate donation processing
  • Establish formatting standards for database fields and ensure consistency of data entries
  • Set up report templates and generate ad hoc reports as needed
  • Adopt new tools to expand and enable digitalisation and automation to improve the prospecting, donor engagement and stewardship experience
  • Support the planning and execution of Major Gift stewardship events and other donor engagement activities
  • Support the DivCOP team and stakeholders in managing donation reporting requirements
  • Build collaborative relationships with internal and external stakeholders
  • Any other duties as assigned by supervisor
Job Requirements
  • University Degree or equivalent
  • Certification in database administration will be considered an asset
  • At least 2 years of relevant experience in database management, fundraising operations, donor engagement, data analytics or a related field, with experience in a nonprofit/fundraising environment preferred
  • Strong proficiency in data management and analysis, with the ability to translate donor data into actionable fundraising and cultivation insights
  • Excellent written and verbal communication skills, with a strong command of English and the ability to develop clear, engaging and compelling donor-facing content
  • Able to handle data preparation and cleaning as well as report generation independently
  • Proficiency in MS Excel and MS Access
  • Experience in preparing reports, publications or other donor-facing communications will be an advantage
  • Experience in event planning and/or management, particularly donor engagement or stewardship events, will be an advantage
  • Experience with digitalisation, automation or system integration will be an advantage
  • Organised and meticulous, with strong attention to detail
  • Analytical mind with good interpersonal and communication skills
  • Resilient and open to adopting productivity tools
  • Able to think creatively and strategically
  • Able to navigate a multi-layer organisation structure and work towards objectives in an environment with multiple stakeholders
