About the Role

The curriculum team in the Undergraduate Studies Office supports the academic journey of NUS Business School's undergraduate students, from curriculum and course administration to academic policies and student services.

We are looking for a Senior Executive / Assistant Manager to join the team in managing key academic operations and student services for our undergraduate programmes. The role combines programme administration and student engagement with opportunities to improve how we work through digitalisation, automation, data analytics, and the practical application of AI.

You will work closely with the undergraduate studies team, academic departments and faculty members and other University offices to deliver key academic and student services. We are looking for someone who is organised and dependable in managing important academic processes, while also being curious about how processes can be redesigned and improved.

This position is suited to a self-directed, organised, and detail-oriented professional who is comfortable managing multiple priorities and stakeholders in a dynamic academic environment.

Duties and Responsibilities

1) Programme Administration and Student Support

  • Administer key academic processes for the undergraduate programme, including the Course Registration Exercise, system setup, student appeals, enquiries, and other student administration related matters.
  • Coordinate undergraduate class and course scheduling, including timetable planning, resource allocation, and venue requirements.
  • Administer the Advanced Placement Test (APT) and related processes, including registration, test administration, invigilation, release of results, and posting of Advanced Placement Credits.
  • Review and process Leave of Absence (LOA) applications, including assessment of supporting documentation and preparation of recommendations for the Deanery.
  • Manage University Withdrawal requests, including documentation, coordination with relevant University offices, and guidance to students.
  • Advise students on undergraduate curriculum requirements, academic policies, and relevant administrative processes.
  • Manage student enquiries and cases professionally and sensitively, exercising appropriate judgement and escalating complex matters where necessary.

2) Academic Operations and Planning Support

  • Coordinate the implementation of academic policies, curriculum changes, and programme requirements.
  • Analyse programme and operational data to support course demand projection, class planning, resource allocation, and management decision-making.
  • Prepare reports, statistics, presentations, and recommendations for programme reviews and management discussions.
  • Support projects and initiatives that cut across different areas of the Undergraduate Studies Office.


3) Digitalisation, Automation and Continuous Improvement

  • Coordinate the implementation of academic policies, curriculum changes, and programme requirements.
  • Analyse programme and operational data to support course demand projection, class planning, resource allocation, and management decision-making.
  • Prepare reports, statistics, presentations, and recommendations for programme reviews and management discussions.
  • Support projects and initiatives that cut across different areas of the Undergraduate Studies Office


4) Governance and Team Responsibilities

  • Ensure that academic and administrative processes comply with University and School policies, regulations, and established procedures.
  • Maintain accurate records and documentation to support operational continuity, accountability, and audit requirements.
  • Contribute actively to team planning, knowledge sharing, and Undergraduate Studies Office initiatives.
  • Undertake other responsibilities related to undergraduate programme administration and development as required.
Qualifications

A recognised bachelor’s degree in any discipline.
Candidates with relevant skills or technical knowledge, including those with no prior work experience, are welcome to apply.
Strong organisational and analytical abilities with attention to detail.
Good written and verbal communication skills.
Interest or experience in process improvement, automation, data analytics, or the application of AI to administrative work.
Comfortable working with data and Microsoft Office applications, particularly Excel.
Experience with tools such as Power Automate, Power Apps, Power BI, SharePoint, or agentic AI platforms would be advantageous.
Service-oriented, patient, and mature when handling student and academic matters.
Able to work independently while contributing effectively as part of a team.
Candidates with experience in higher education administration, programme management, operations, or student services will have an advantage.
