Aufgaben

• Communicate with clients via phone, email and online platforms to provide timely shipment updates.
• Coordinate with operations, logistics, and sales teams to ensure seamless import/export and trucking activities.
• Assist customers in preparing bills of lading, customs declarations and shipping instructions.
• Handle LCL and FCL shipments, including hazardous cargo, ensuring compliance and scheduling accuracy.
• Arrange collection of DOs and B/Ls to facilitate processing.
• Monitor multiple shipments from booking to delivery with attention to detail and efficiency.
• Prepare and review customs clearance documentation; ensure regulatory compliance.
• Perform job costing and timely invoice generation; ensure accuracy of charges.
• Adhere to SOPs and KPIs to maintain performance standards and operational efficiency.
• Maintain regular shipment reports and identify improvement opportunities.
• Suggest documentation process improvements based on industry best practices.

Job Responsibilies

• Communicate with clients through various channels—such as phone, email, and online platforms to provide timely updates on shipment status, transit times, and delivery schedules.
• Work closely with internal teams, including operations, logistics, and sales, to ensure seamless execution of import, export, cross-trade shipments, and trucking activities.
• Support customers in preparing required documentation, including bills of lading, customs declarations, shipping instructions, and other necessary paperwork.
• Handle both LCL and FCL shipments, including hazardous cargo, ensuring accurate scheduling and compliance with safety regulations.
• Arrange the collection of Delivery Orders (DO) and Bills of Lading (B/L) from relevant parties to facilitate shipment processing.
• Manage multiple shipments simultaneously, overseeing each from initiation to completion with strong attention to detail and efficiency.
• Demonstrate initiative and the ability to work independently in managing freight forwarding operations with minimal supervision.
• Coordinate customs clearance and documentation to ensure compliance with international trade and regulatory requirements.
• Perform job costing and billing accurately, ensuring all charges are captured and invoices are issued promptly.
• Adhere to company SOPs and KPIs to maintain operational standards and achieve performance targets.
• Maintain regular shipment reports to monitor progress, identify issues, and support informed decision-making.
• Recommend improvements to cargo documentation processes based on industry standards and best practices.
• Review customer feedback and requirements to identify opportunities for enhancing operational efficiency and customer satisfaction.
• Shipment Milestone Monitoring & Updates: Proactively monitor and update shipment milestones in the operating system, ensuring accurate and timely updates from booking confirmation through cargo delivery. Identify delays, exceptions, and potential disruptions, and communicate updates promptly to customers and relevant stakeholders.
• Cross-Trade Shipment Management: Coordinate and manage cross-trade shipments involving overseas origins and destinations, liaising closely with overseas offices, agents, carriers, and customers to ensure smooth shipment execution, accurate documentation, and timely delivery.
• Proactive Shipment Follow-Up: Perform regular follow-ups with shipping lines, overseas agents, vendors, and internal stakeholders to ensure timely booking confirmation, shipment departures, arrivals, customs clearance, and final delivery. Escalate outstanding issues and shipment exceptions promptly to minimize operational disruptions.
• Shipment Exception Management: Proactively identify shipment delays, missing milestones, documentation discrepancies, and operational issues. Follow through on corrective actions and ensure all outstanding matters are resolved within the required timelines.

Job Requirements

• Prior experience in freight forwarding operations, with a solid understanding of import/export procedures, documentation, and customs clearance.
• Strong communication abilities, with the capability to engage effectively with clients, internal teams, and external stakeholders.
• Proficient in managing both LCL and FCL shipments, including hazardous cargo, with an emphasis on accuracy and regulatory compliance.
• Excellent organizational and multitasking skills, able to handle multiple shipments simultaneously while prioritizing tasks effectively.
• Self-driven and able to work independently, demonstrating initiative without the need for close supervision.
