Job summary

Xiaohong Property Management Pte Ltd invites a Tenancy and Project Executive to join our team in Singapore. You will plan, coordinate and execute tenancy design projects across retail malls and commercial properties, ensuring AEI and fit-out standards are met.

Responsibilities include reviewing design submissions, coordinating with consultants and contractors, conducting site inspections, managing procurement, and maintaining thorough project documentation from start to close.

Qualifications

• Diploma in Architectural and Built Environment and Interior Design.
• 3–5 years of tenancy design management, retail interior design or fit-out coordination.
• Understanding of retail design principles, construction processes and tenancy fit-out.
• Strong coordination, communication and stakeholder management skills.
• Proficient in Microsoft Office and Autocad; familiarity with photo editing or design software is advantageous.
• Resourceful, proactive and able to work in a lean team.

Responsibilities

• Review tenants' design submissions and provide practical, innovative, and commercially viable design solutions to ensure compliance with design standards.
• Support the implementation of Asset Enhancement Initiatives (AEI), refurbishment, upgrading, reinstatement, and CAPEX projects.
• Coordinate with consultants, contractors, tenants, vendors, and internal stakeholders to ensure smooth project delivery.
• Conduct regular site inspections to ensure work is carried out in accordance with approved plans, safety requirements, and quality standards.
• Review contractors' work progress and ensure fitness according to approved design and compliance to safety requirements.
• Assist in obtaining quotations, process payment, evaluating proposals, preparing purchase requisitions, and administering project documentation.
• Verify work completion, progress claims, variation orders, and supporting documents before submission for approval.
• Maintain proper project records, reports, drawings, permits, warranties, manuals, and close-out documentation.
• Participate in project meetings and prepare meeting minutes, progress updates, and reports.

About the role:

The Tenancy and Project executive supports the planning, coordination, and execution of projects within the company's retail malls and commercial properties. This role assists in managing tenancy feasibility studies, refurbishment projects, and Asset Enhancement Initiatives.

The successful candidate should be resourceful, proactive, and comfortable working in a lean team where initiative and ownership are highly valued.

Requirements:

• Diploma in Architectural and Built Environment and Interior Design.
• Minimum 3-5 years of relevant experience in tenancy design management, retail interior design, or fit-out coordination. Good understanding of retail design principles, construction processes, and tenancy fit-out requirements. Good team player with creativity and is meticulous.
