Proactive Physiotherapy is a boutique clinic focused on personalized, high-quality care. We are seeking a Patient Service Associate to be the friendly face of the clinic, manage front-desk duties, and help grow our online community.

You will welcome patients, manage scheduling, handle payments and insurance tasks, and support doctors with referrals. Experience in healthcare administration and social media is valued in this role.

Qualifications

• Resourceful problem solver with high attention to detail, capable of managing schedules and paperwork.
• Proactive team player with a willingness to learn, adapt, and grow.
• Excellent interpersonal skills with a warm, patient-first attitude when engaging with medical partners.
• Fluent in written and spoken English; proficiency in a second language is an advantage.
• Strong organizational skills with the ability to multitask in a boutique environment.
• Experience with social media tools (Instagram, Facebook, Canva) and standard office software.
• Prior experience as a clinic assistant, receptionist, concierge, or in healthcare administration is highly preferred.

Responsibilities

About the role

Patient Service Associate at Proactive Physiotherapy, a boutique clinic dedicated to providing personalized, high-quality care. You will serve as the face of the clinic, manage front-desk operations, and help grow our online community presence.

Key responsibilities

• Warmly welcome patients, manage check-ins/check-outs, and maintain a spotless, organized, and inviting environment including light daily tidying, sanitizing treatment areas, and keeping common spaces welcoming

• Provide personalized, hands‑on assistance to post‑operative and mobility‑impaired patients upon arrival, including meeting patients at drop‑off points or guiding them from the building entrance/MRT to the clinic

• Manage phone calls and WhatsApp inquiries, thoughtfully navigate schedule adjustments and resolve last‑minute booking changes to ensure a smooth, error‑free calendar

• Handle patient invoicing, process daily payments (Cash, NETS, Credit), assist with administrative paperwork, and manage insurance billing matters and claims processing

• Proactively liaise with existing and potential new medical doctors to build and maintain strong, professional referral relationships

• Monitor, count, and restock clinic supplies and medical inventory to ensure smooth, uninterrupted operations

• Plan, create, and post engaging content (photos, updates, reels/short videos) on Instagram and Facebook to grow our brand community

• Basic salary SGD $2,200 – $2,500 per month (commensurate with experience) plus full employer CPF contributions
