Job summary

Elements Dental is seeking a dedicated Patient Care Coordinator to join our Bukit Timah practice. This full-time role greets patients, manages appointments, handles inquiries, and supports the clinical team to ensure a smooth dental journey for every patient.

You will maintain accurate records, assist with billing inquiries, and help coordinate communication between patients and clinicians in a fast-paced environment. A minimum of 2 years in a healthcare-adjacent admin role is preferred.

Qualifications

  • Minimum 2 years' experience in a patient- or customer-facing administrative role, preferably within a healthcare or dental practice setting.
  • Strong communication skills with the ability to interact professionally with patients, staff and external parties.
  • Excellent organisational and time management abilities, with the capacity to manage multiple priorities simultaneously and keep calm under time pressure.
  • Customer service excellence with a genuine commitment to patient satisfaction and care.
  • A warm, empathetic approach to patient interactions combined with professional boundaries.
  • Strong attention to detail and accuracy in administrative tasks and record-keeping.
  • Flexibility and reliability, with the ability to work as part of a cohesive clinical team.

Responsibilities

  • Greeting patients upon arrival and maintaining a welcoming, professional reception environment.
  • Managing patient appointments, scheduling, rescheduling and confirming bookings via phone and online systems.
  • Collecting and verifying patient information and medical history during check-in procedures.
  • Handling patient inquiries regarding treatments, costs, and insurance coverage with professionalism and accuracy.
  • Processing patient payments, maintaining accurate financial records and managing billing inquiries.
  • Coordinating patient communication between clinical staff and patients regarding treatment plans and follow-up care.
  • Addressing patient concerns and complaints promptly, escalating issues when necessary to management.
  • Maintaining comprehensive patient records and ensuring confidentiality of all sensitive information.
  • Supporting the dental team by preparing treatment rooms and assisting with administrative coordination of clinical activities.
  • Maintaining an organised reception area and ensuring all administrative systems are functioning efficiently.

About the role

As Patient Care Coordinator, you will be the first point of contact for many of our patients, managing their experience from initial inquiry through to treatment completion.
