Job summary

Sembcor is seeking a detail-oriented Fulfilment Team Executive to support end-to-end order fulfilment for customer, bullion and corporate sales orders at Singapore Mint, Singapore. You will ensure accurate processing, documentation and timely deliveries or collections.

You will collaborate with Customer Experience, Sales, Finance, Logistics and Production to coordinate stages of the fulfilment process and provide a smooth experience from confirmation to delivery or collection.

Qualifications

• Experience in order fulfilment, sales administration, or logistics is advantageous.
• Strong attention to detail handling orders, payments and documents.
• Excellent organizational and time-management abilities.
• Proficient with Microsoft Excel and admin/order systems.
• Effective written and verbal communication; cross-department coordination.

Responsibilities

• Process and manage online and mail orders accurately within timelines.

• Coordinate with internal teams to resolve fulfilment issues promptly.

Salary: S$2,500 – S$2,900 per month
Working Hours: Monday to Friday, 8:00 am – 5:30 pm
Work Location: Singapore Mint, 20 Teban Gardens Crescent, Singapore
Reporting To: Head of Customer Experience

About the Role

We are looking for a detail-oriented and proactive Fulfilment Team Executive to support the end-to-end fulfilment of customer, bullion and corporate sales orders.

You will play an important role in ensuring orders are processed accurately, payments and documentation are properly tracked, and deliveries or collections are completed on schedule.

Working closely with Customer Experience, Sales, Finance, Logistics and Production , you will coordinate different stages of the fulfilment process and help ensure a smooth experience from order confirmation through to successful delivery or collection.

Key Responsibilities

• Process and manage online and mail orders accurately and within required timelines.
• Review order details and follow up on outstanding, incomplete or exceptional orders.
• Coordinate with internal teams to resolve order and fulfilment issues promptly.
• Maintain accurate and up-to-date order and fulfilment records in internal systems and tracking files.
• Monitor order progress and proactively follow up to ensure timely completion.
• Update and track Lion Bullion collection and fulfilment statuses in the Admin Portal and Excel database.
• Support order fulfilment upon arrival of stock.
• Prepare required internal documentation and update Sales Order Forms (SOFs) for product tagging and packing.
• Update order statuses and trigger customer notifications when orders are ready for self-collection.
• Consolidate and maintain accurate payment records and coordinate with Finance on payment-related matters.
• Ensure fulfilment information is kept accurate and updated for operational tracking and reporting.
• Receive and process confirmed and signed customer quotations.
• Submit Purchase/Production Work Orders (PWO) where required.
• Coordinate artwork submissions, approvals and production requirements.
• Maintain complete and accurate documentation throughout the order process.
• Track outstanding requirements and follow up with relevant teams to support timely order completion.
• Raise Sales Orders based on confirmed and signed quotations.
• Coordinate with Logistics on the picking, preparation and shipment of completed orders.
• Submit Sales Orders to Finance for invoicing.
• Follow up on payment arrangements for prepaid orders and monitor payment status.
• Coordinate with Finance to confirm receipt of payment before fulfilment where applicable.
• Arrange delivery or collection once order and payment requirements are completed.
• Proactively follow up with internal stakeholders to ensure orders are delivered or collected according to schedule.
• Highlight delays, discrepancies or fulfilment issues and support timely resolution.

Requirements

• Relevant experience in order fulfilment, sales administration, logistics, e-commerce operations or customer operations would be advantageous.
• Strong attention to detail, particularly when handling orders, payments and documentation.
• Good organisational and time-management skills with the ability to manage multiple priorities.
• Comfortable using Microsoft Excel and administrative or order management systems.
• Good written and verbal communication skills.
• Able to coordinate effectively across different departments.
• Proactive, responsible and able to follow through on assigned tasks.
• Comfortable working in a fast-paced operational environment where priorities may change.
