Job summary

ANS FRESH & FROZEN PTE. LTD. is seeking a detail-oriented Daily Operations Coordinator to oversee daily admin and operations activities in our Singapore facility.

You will coordinate purchasing, inventory, logistics, documents, and compliance, ensuring accuracy and timely delivery. Responsibilities include handling PO management, supplier coordination, customer order processing, warehouse collaboration, data entry, reporting, and maintaining food-safety records to support smooth business

Responsibilities

• Coordinate and monitor day-to-day administrative and operational activities.
• Prepare, process, and track purchase orders for meat, fresh products, packaging, and supplies.
• Communicate with suppliers regarding prices, orders, delivery schedules, and product availability.
• Receive, verify, and process customer orders accurately and on time.
• Maintain accurate records of stock received, issued, transferred, and remaining.
• Check physical stock against system records and report discrepancies.
• Coordinate daily delivery schedules with drivers, warehouse staff, and customers.
• Prepare and maintain invoices, delivery orders, purchase orders, quotations, and other documents.
• Maintain records of batch numbers, receiving dates, expiry dates, and product movements.
• Maintain required hygiene, temperature, cold-chain, and food-safety documentation.
• Work closely with warehouse teams to ensure correct receiving, storage, picking, and dispatch of products.
• Verify supplier invoices against purchase orders and delivery records before submission to finance.
• Respond to customer enquiries and coordinate solutions for order, delivery, or product issues.
• Assist the sales team with quotations, customer orders, pricing information, and sales documentation.
• Record and report expired, damaged, rejected, or wasted products.
• Prepare operational reports covering sales, purchases, inventory, deliveries, and wastage.
• Ensure all operational information is entered accurately into Excel, ERP, or company systems.
• Maintain documents required for company audits, inspections, licenses, and regulatory compliance.
• Coordinate effectively between management, purchasing, sales, warehouse, finance, production, and delivery teams.
• Provide accurate operational information and reports to management and assist with improving efficiency and reducing errors.
