Job summary

M2 SHIPPING SERVICES PTE. LTD. is seeking a focused Operations Coordinator to manage project cargo vessel calls in Singapore.

You will coordinate communications, berths, and documentation to ensure smooth, compliant, and cost-efficient vessel calls aligned with Principals' expectations. You will liaison with ship owners, charterers, master, ports, and suppliers, prepare essential documents, and work with the Accounts team to fulfil billing requirements on time.

Qualifications

• Experience in project cargo coordination or similar role (training provided).
• Ability to liaise with ship owners, agents and port authorities.
• Strong documentation and reporting skills.

Responsibilities

• Coordinate vessel operations with berths and loading/discharge requirements.
• Prepare and verify shipping documents (Bill of Lading, Cargo Manifest).
• Ensure SOP compliance and timely reporting to Principals.
• Collaborate with Accounts to support billing and cash flow.
• Engage with clients and ports to align on operational matters.

Job Summary

Coordinate project cargo vessel operations by managing communications, documentation, and stakeholder liaison to ensure smooth, cost-effective, and compliant vessel calls aligned with Principals' expectations.

Responsibilities

• Respond promptly to new agency appointments with PDA on the same day to initiate coordination.
• Coordinate vessel operations efficiently by liaising with loading/discharge berths such as Jurong Port to meet all vessel operational requirements.
• Communicate and coordinate with ship owners, charterers, ship masters, MPA, ICA, terminals, and suppliers/vendors to ensure smooth vessel call operations.
• Prepare and verify all shipping documentation, including Bill of Lading, Cargo Manifest, and Jurong Port – JPOnline berth applications, ensuring accuracy and completeness.
• Ensure all documentation and reporting meet Principals' expectations and compliance standards.
• Obtain PDA pre-funding from Principals when terms are not pre-agreed to support operational cash flow.
• Identify and propose cost-saving solutions for vessels and Principals to optimize operational expenses.
• Collaborate closely with the Accounts department to fulfill billing requirements accurately and timely for Principals.
• Support management directly on key operational matters requiring attention or escalation.
• Identify continuous improvement opportunities in operations and provide actionable feedback to the General Manager.
• Operate strictly according to the company’s Standard Operating Procedures (SOPs) to maintain consistency and compliance.
• Participate actively in regular Operations Team meetings with clients and Jurong Port to align on operational matters.
• Maintain personal safety and health while working in office premises or traveling to meet customers, terminals, and port authorities.
• Adhere to established safe work procedures relevant to job responsibilities to ensure a safe working environment.

Required competencies and certifications

• Minimum GCE 'O' Levels.
• Some working experience in project cargo coordination, training provided.
