Job summary

caliber8 seeks a Technical Executive to support the technical and purchasing functions of a shipowner. This role assists with vessel technical matters, purchasing activities, documentation and coordination with Technical Managers, Superintendents, suppliers and service providers.

The position requires diligence, organisation and proactive communication across teams, spanning technical support, purchasing and general admin to ensure compliance, reporting and timely delivery of vessel needs.

Qualifications

• A technical, maritime or equivalent qualification.
• At least six months of experience in technical assistance, vessel purchasing or a related role within the maritime industry.
• Good command of written and spoken English.
• Proficient in Microsoft Office and standard email applications.
• Good communication, coordination and interpersonal skills.
• Able to establish effective working relationships with Technical Managers, Operations Managers, suppliers, agents and other internal and external stakeholders.
• Organised, detail-oriented and capable of managing multiple tasks concurrently.
• Proactive, responsible and able to follow up on assigned tasks promptly.
• Able to work effectively both independently and as part of a team.

Responsibilities

• Provide day-to-day technical and administrative support to the Technical team.
• Monitor and follow up with Technical Managers on vessel technical matters.
• Assist with vessel repairs and services, coordinating with the relevant Technical Managers and service providers.
• Monitor vessel and machinery performance, including efficiency and PMS requirements.
• Analyse vessel costs, PMS data and other KPIs to assess overall vessel condition and performance.
• Ensure vessel documentation and certificates are maintained and valid.
• Organise and maintain routine reports from vessels and Technical Managers.
• Assist with vessel takeover and handover preparations and related arrangements.
• Coordinate management review meetings and action item follow-ups.
• Support vessels in audits and Port State Control inspections.
• Maintain technical statistics and prepare weekly, monthly and quarterly reports.
• Perform other technical duties as required.
• Liaise with Technical Managers and Superintendents for timely supply and repair arrangements.
• Handle purchasing activities and follow up on deliveries to vessels.
• Source quotations from suppliers and evaluate pricing/terms.
• Issue purchase orders and reconcile purchasing records.
• Send enquiries and requisitions to suppliers for vessel purchases.
• Prepare purchase orders, delivery orders, proforma invoices, packing lists and docs.
• Coordinate with vessel agents and service providers for parts delivery at ports.
• Process invoices and maintain purchasing records.
