Skills & Workforce Development Agency (SWDA) in Singapore seeks an capable HR Administration and Talent Operations professional to support organisation-wide learning and development initiatives, coordinate the 360 Exercise, and assist with data reporting using approved AI and analytics tools.

Responsibilities include scheduling interviews, managing rooms and calendars, maintaining talent records, and supporting finance-related admin work such as budgeting and invoicing.

Qualifications

  • At least 3 years of relevant work experience in HR administration, learning and development, talent management, HR operations or a related area.
  • Strong administrative, coordination and organisational skills, with the ability to manage schedules, room bookings, records, invoices, budget updates and multiple workstreams accurately.
  • Good stakeholder management and communication skills, with a service-oriented and meticulous approach.
  • Comfortable working with spreadsheets and preparing basic reports or dashboards; experience using organisation-approved AI, analytics or visualisation tools is an advantage.
  • Able to organise and check data, identify basic trends and validate AI-generated outputs before use.
  • Demonstrates sound judgement and awareness of data privacy, security and confidentiality requirements when handling employee and talent information.

Responsibilities

  • Coordinate interview schedules and logistics for talent and management interviews, including liaising with relevant stakeholders and managing changes.
  • Coordinate career coaching, chat and engagement sessions, including calendar management, room bookings and last-minute scheduling arrangements.
  • Perform administrative activities, including maintaining and updating talent-related records and generating or editing Workday CVs to ensure accurate posting histories.
  • Support finance-related administration, including budget tracking and updates, preparation of supporting documents, invoice processing and follow-up, and secondment-in, sponsorship and scholarship billings.
  • Conduct research and desktop scans of relevant training programmes, courses, and development opportunities.
  • Maintain and update learning programme information, including programme schedules and training calendars.
  • Support the coordination and administration of training-related activities, including the preparation of approvals, procurement documentation and requisitions etc.
  • Support the preparation and maintenance of learning and talent management analysis, reports and dashboards using organisation-approved AI, analytics and visualisation tools, where appropriate.
  • Organise and check source data, identify basic trends and prepare clear summaries for HR stakeholders, with appropriate validation and human review of AI-generated outputs.
  • Handle employee and talent data in accordance with prevailing data privacy, security, confidentiality and responsible AI requirements, using only approved tools and permitted data.
  • Support the preparation and execution of the 360 exercise for middle managers and leader, including coordination of timelines, schedules and logistics etc to ensure successful delivery of the exercise.
  • Provide any other administrative support to facilitate the smooth implementation of the initiative
  • Support the implementation of other Human Resource initiatives, projects and operational activities, as assigned.

What You Will Be Working On
