Qualifications

  • 4–6 years of project management experience in IT or government-like environments.
  • Certification in project management (PMP, PRINCE2, etc.) is required.
  • Experience managing vendor teams and complex stakeholder groups.
  • Knowledge of IT security and compliance requirements.

Job description

This role focuses on overseeing post-commission maintenance activities for internal-facing systems, such as the intranet and non-financially linked applications. The Project Manager will be responsible for managing vendor teams, stakeholder communication, system support and enhancement, quality assurance, risk management, compliance, documentation, and ensuring the smooth operation and continuous improvement of these internal IT systems.

Responsibilities:
Project Management and Coordination
  • Oversee and coordinate post-commission maintenance activities for thesystems
  • Develop and maintain project plans, schedules, and resource allocations for ongoing maintenance tasks
  • Ensure timely delivery of maintenance services and system enhancements as per agreed timelines and SLAs.
  • Lead and manage the vendor's maintenance team, ensuring appropriate staffing and skill sets
  • Coordinate with stakeholders to align vendor team activities with our priorities and expectations
  • Facilitate knowledge transfer within the vendor team to ensure continuity of support.
Stakeholder Management
  • Serve as the primary point of contact between the vendor team and our stakeholders
  • Regularly communicate project status, risks, and issues to management
  • Manage stakeholder expectations regarding system performance, maintenance timelines, and enhancement deliverables.
System Support and Enhancement
  • Oversee the provision of ongoing support for commissioned application systems;
  • Coordinate the planning and execution of system enhancements as requested
  • Ensure that all maintenance and enhancement activities align with business requirements and technical standards.
Quality Assurance and Performance Management
  • Implement and maintain quality control processes for all maintenance and enhancement activities
  • Monitor and report on key performance indicators (KPIs) as defined in the maintenance contract
  • Conduct regular service reviews to ensure satisfaction with the vendor's performance.
  • Lead the identification and implementation of AI integration opportunities across existing and new systems
  • Oversee complete development lifecycle of AI-enhanced solutions
  • Manage maintenance transitions for AI-integrated systems
  • Collaborate with in-house Full Stack Engineer to ensure effective execution of AI projects
  • Drive system improvements through AI capability integration.
Risk and Issue Management
  • Proactively identify and mitigate risks related to system maintenance and enhancements
  • Manage the resolution of critical system issues, ensuring minimal disruption to operations
  • Maintain a comprehensive log of all issues, their resolutions, and preventive measures implemented.
Compliance and Security
  • Ensure all maintenance activities comply with policies, government regulations, and industry standards
  • Coordinate with IT security team for regular security audits and timely implementation of security updates.
  • Manage the maintenance project budget, ensuring cost-effective delivery of services
  • Provide transparent reporting on resource utilization and costs incurred
  • Assist in forecasting future maintenance costs and planning for system enhancements.
Documentation and Reporting
  • Oversee the maintenance of up-to-date system documentation, including user manuals and technical specifications
  • Prepare and present regular status reports, including progress updates, issue summaries, and upcoming activities.
Requirements:
