We are seeking a responsible, self-driven and professional HR & Admin Assistant to support the HR Manager in managing day-to-day HR, payroll and office administration in our fast-paced manufacturing environment.
This is a hands-on role suited to someone who has practical HR and administrative experience, takes initiative and is able to manage assigned responsibilities with minimal supervision.
Key Responsibilities
- Handle day-to-day HR, office administration and office management activities
- Manage Singapore work pass applications, renewals, cancellations and related documentation
- Handle monthly payroll processing, including attendance, overtime, leave, deductions and statutory contributions
- Maintain accurate employee, payroll and HR records and documentation
- Support recruitment, interview coordination and onboarding of new employees
- Manage general office operations, including office supplies, IT/equipment, facilities, housekeeping and maintenance services
- Coordinate with building management, vendors, contractors and service providers on office and facility matters
- Monitor office supplies and manage purchasing, inventory and related administrative expenses
- Ensure the office is well-organised, properly maintained and operates efficiently
- Handle employee and external enquiries professionally and confidentially
- Liaise with relevant government agencies and external parties on HR, payroll and administrative matters
- Ensure HR, payroll and office administration processes comply with company policies and applicable Singapore requirements
- Maintain proper filing and documentation for compliance and audit purposes
- Perform other HR and administrative duties as required
Key Requirements
- Diploma or Degree in Human Resources, Business Administration or related field
- Minimum 2 years of relevant HR & administrative experience, preferably in a manufacturing environment
- Hands-on experience in Singapore work pass applications and payroll processing is required
- Good working knowledge of CPF, IR8A and IR21
- Familiarity with Singapore employment practices and statutory requirements
- Proficient in Microsoft Office, particularly Excel and Word and HRIS software, Info-Tech
- Hands-on, resourceful and willing to take ownership of tasks from start to completion
- Strong organisational skills with good attention to detail
- Self-driven, proactive and able to work independently with minimal supervision
- Mature, responsible and able to handle confidential information with discretion
- High level of integrity and ethical professionalism
- Good communication and interpersonal skills
- Able to work effectively in a fast-paced and dynamic manufacturing environment
- Flexible, hands-on and willing to take ownership of tasks from start to completion
- Proficiency in Mandarin will be an advantage, as the role involves regular communication with China-based counterparts and business stakeholders.
