Job summary

Responsibilities

  • Track vendor costs against budget and client funding.
  • Prepare client billings and follow up on payments.
  • Support month-end close with revenue and accruals.
  • Review Power BI dashboards and finance packs for P&L, AR, WIP, and accruals.
  • Provide helpdesk support and onboard vendors.
  • Assist Contract Manager with reporting and service report submissions.
  • Coordinate with the team and SharePoint for document management.

Job description

About the Role:

Based in Singapore - As a CBRE Finance & Admin Executive, you will provide exceptional financial and administrative services to the facilities management (FM) contract, client and operations team. To be successful in the role, it is key that the Contract Support understands contract, procedures, processes, and operates them to the required standards.

What You’ll Do:
  • Raise purchase orders (PO), perform good receipting (GR) for services delivered, and liaise with vendors and shared service centre on vendor invoices and their payments.
  • Keep track of vendor costs against budget and client funding.
  • Raise and submit client billings to client and follow up on collection
  • Support Finance Manager in contract finance month-end close by determining revenue and cost accruals.
  • Review Power BI dashboards and finance packs to monitor P&L, unbilled revenue (UBR), AR, work-in-progress (WIP), open POs and aged accruals.
  • Apply necessary building access when required
  • Provide helpdesk support, including logging, distributing, and closing enquiries.
  • Support the Contract Manager in monitoring the team attendance and overtime
  • Support Contract Manager in internal and client reporting, such as internal contract review (AIQ) and customer monthly management report (MMR).
  • Maintain Sharepoint / coordinate with team members on service report submissions
  • Onboarding of vendors, and obtain quotations based on contract specifications and service requirements.
  • Support operations team in assessing supplier performance and update feedback in mySupplier.
What You’ll Need:
  • Minimum Diploma in Business Administration / Accounting & Finance or a related discipline.
  • Strong computer literacy with proficiency in Microsoft Office (e.g Excel / Powerpoint / Word)
  • Candidates with knowledge of systems such as Coupa/myBuy, PeopleSoft, iScala, Power BI will have an added advantage.
  • Able to manage both internal and external stakeholders in a matrix organisation through effective communication and relationship building.
  • Strong client focus with a passion for delivering excellent customer service.
  • Demonstrate interest in learning and understanding the facilities management business and operations.
  • Results-oriented with strong attention to detail and accuracy.
  • Excellent time management and organisational skills, with the ability to manage multiple priorities and voluminous information.
  • Maintain a professional, confidential, and discreet approach at all times.
