Role Summary
The Facilities Coordinator is responsible for supporting the smooth and efficient operation of workplace facilities, coordinating maintenance activities, vendor services, and facilities administration. The role will also support workplace safety and compliance requirements, assist with facilities related projects, manage purchase orders and invoice tracking, and provide timely support to employees to ensure a safe, functional, and well maintained working environment.
Key Responsibilities
Facilities Support
- Assist with day‑to‑day facilities operations
- Help log and track maintenance requests and follow up on completion
- Conduct simple site checks and report defects or issues
- Support basic asset and equipment tracking.
- Finance support and raising PO’s and tracking of expenses.
Vendor & Contractor Coordination
- Assist in scheduling service visits (cleaning, pest control, maintenance, etc.)
- Escort contractors and ensure works are carried out safely
- Collect service reports and update records
Safety, Security & Compliance Support
- Support fire safety checks and emergency preparedness activities
- CCTV and Access pass management
- Help maintain safety records and inspection logs
- Follow workplace safety procedures and house rules
- Support in the preparation of internal and external audits
Project Coordination (Entry‑Level Scope)
- Assist in facilities‑related projects such as:
- Office renovations or minor refurbishment works
- Office moves, restacking, or expansion projects
- Equipment upgrades (lighting, furniture, pantry, meeting rooms)
- Support project schedules, checklists, and task tracking
- Coordinate with contractors on site access, work timing, and permits
- Monitor project progress and report status updates to the project lead
Customer Service & Administration
- Respond to facilities‑related requests from employees
- Provide courteous and timely support to internal users
- Help prepare simple reports and maintain documentationl
- Assist with invoice tracking and service documentation
Job Requirements
Education
- Diploma in Facilities Management, Building Services, Engineering, related fields / Over 2 to 3 years of job-related experience
- Entry Level candidates are welcome to apply
Skills & Experience
- Basic computer skills (Microsoft Excel, Word, PowerPoint, Outlook)
- Willingness to learn facilities operations and building systems
- Ability to follow procedures and instructions
- Prior internship or part‑time experience in facilities, administration, or customer service is an advantage
