MCI CAREER SERVICES PTE. LTD. is seeking a Facilities Management Assistant to support the Facilities Management Manager in daily operations across our facilities, buildings, and retail outlets in Singapore.
The role includes coordinating preventive and corrective maintenance, site inspections, and contractor management to ensure uptime and compliance. Applicants should have a Diploma in Facilities Management or related discipline and a minimum of 5 years’ experience, with strong problem-solving
Assist the Facilities Management Manager in overseeing the daily operations and maintenance of the company's facilities, buildings, and retail outlets.
Coordinate and monitor preventive and corrective maintenance activities to ensure facilities, equipment, and building systems remain operational and downtime is minimized.
Conduct regular site inspections to identify maintenance, safety, cleanliness, and facility-related issues, and follow up on rectification works.
Coordinate with contractors and service providers for repair, maintenance, servicing, and improvement works, ensuring works are completed according to required standards and timelines.
Assist in managing and monitoring security and surveillance systems, including CCTV, biometric access control, intruder alarm systems, and other security infrastructure.
Conduct regular checks on CCTV and access control systems across company facilities and retail outlets and accelerate any issues requiring attention.
Support the management of cleaning and housekeeping operations, including monitoring cleaning standards, manpower deployment, attendance, and service quality.
Work closely with the Cleaning Supervisor and cleaning team to ensure all premises consistently meet the company's cleanliness and presentation standards.
Monitor contractors' and vendors' performance and ensure agreed service levels, schedules, and quality standards are maintained.
Assist in handling tenant, landlord, retail outlet, and internal department requests relating to facilities, maintenance, repairs, and building services.
Follow up on maintenance requests and ensure issues are resolved within the agreed timeframe.
Assist with facility audits, risk assessments, safety inspections, and compliance checks to ensure adherence to statutory and workplace safety requirements.
Maintain accurate records of maintenance activities, inspection reports, service schedules, contractor information, and facility-related documentation.
Assist the Facilities Management Manager in monitoring maintenance expenses, quotations, purchase orders, and operational costs to support cost control.
Assist in preparing monthly facilities management reports, maintenance summaries, KPI reports, and management updates.
Support renovation, relocation, new outlet opening, and facility improvement projects, including coordination with contractors and internal stakeholders.
Respond promptly to urgent facilities and maintenance issues and coordinate the necessary resources to minimize disruption to business operations.
Perform any other facilities-related duties and projects as assigned by the Facilities Management Manager.
Diploma in Facilities Management, Building Services, Engineering, Property Management, or a related discipline.
Minimum 5 years of relevant experience in facilities management, building operations, maintenance, or related areas, with supervisory experience preferred.
Good problem-solving skills with a hands‑on and proactive approach to resolving facilities issues.
Good communication and interpersonal skills, with the ability to liaise effectively with contractors, vendors, landlords, retail teams, and internal stakeholders.
Able to conduct site inspections and follow up closely on maintenance and rectification works.
Good understanding of workplace safety, risk assessment, and building compliance requirements.
8.30-6pm or 9am-6.30pm
