Job summary

The Singapore Red Cross Academy is seeking an Executive to plan, coordinate and oversee the operational delivery of training programmes across locations. You will manage logistics, resources and inventory while collaborating with internal stakeholders to ensure a seamless, high-quality training experience.

You will drive continuous improvement of processes, support during peak periods and contribute to service continuity and customer satisfaction.

Qualifications

  • Diploma in Business Administration, Operations Management, Logistics, Supply Chain Management or related discipline.
  • At least 2 years of relevant experience in operations, logistics, training administration, event operations or related field.
  • Experience coordinating multiple operational activities in a fast-paced environment is preferred.
  • Experience in inventory management and process improvement would be advantageous.
  • Strong planning, coordination and organisational skills.
  • Good analytical and problem-solving abilities with attention to detail.
  • Knowledge of inventory management principles and operational workflows.
  • Proficient in Google Workspace and Microsoft Office applications and comfortable working with digital systems and operational databases.
  • Ability to manage multiple priorities and adapt to changing operational demands.
  • Good written and verbal communication skills.

Responsibilities

  • Coordinate end-to-end operational support for training programmes and ensure venues, equipment, and materials are prepared.
  • Plan and coordinate the packing, transport and collection of training equipment for external programmes.
  • Monitor training schedules and proactively plan operational resources to support current and upcoming training requirements.
  • Provide operational support during training programmes and coordinate timely resolution of operational issues to minimise disruptions.
  • Support operational execution during periods of high training volume or manpower constraints, including assisting with logistics and equipment handling where necessary.
  • Oversee the inventory of training equipment, consumables and operational supplies across training centres.
  • Work closely with HQ Administration team and relevant stakeholders to ensure accurate inventory tracking, stock availability and timely replenishment.
  • Conduct regular inventory audits and ensure training assets are properly maintained, accounted for and operationally ready.
  • Analyse inventory usage trends and recommend procurement or resource optimisation where appropriate.
  • Review and improve operational workflows, processes and resource utilisation to enhance efficiency and service quality.
  • Develop, implement and maintain operational documentation, Standard Operating Procedures (SOPs) and work instructions.
  • Analyse operational data and identify opportunities for process improvements, cost optimisation and productivity enhancements.
  • Participate in operational projects and initiatives that strengthen training delivery and customer experience.
  • Work closely with internal stakeholders to ensure seamless coordination of training operations.
  • Build collaborative working relationships with internal and external stakeholders to support effective operational planning and service delivery.
  • Provide timely and professional support in addressing operational enquiries and requests.
  • Support organisational events, operational initiatives and projects as assigned.
  • Perform any other duties assigned by the Reporting Officer.

About the Singapore Red Cross Academy

The Singapore Red Cross Academy is the training arm of the Singapore Red Cross, dedicated to building community resilience by equipping individuals and organisations with essential humanitarian knowledge and skills. We are the region's go-to institute for humanitarian studies, offering a comprehensive suite of courses in First Aid & Resuscitation, Psychosocial Support, and other humanitarian and caregiving programmes. Job Purpose

The Executive role is responsible for planning, coordinating and overseeing the operational delivery of training programmes to ensure smooth, efficient and high-quality execution across all training locations. The role manages training logistics, operational resources and inventory while working closely with internal stakeholders to support business needs and deliver a positive customer experience.

The incumbent also drives continuous improvement of operational processes, maintains operational readiness, and provides hands-on support during periods of high operational demand to ensure service continuity.

Job Responsibilities
  1. Training Operations & Logistics

    • Coordinate and oversee end-to-end operational support for training programmes, ensuring training venues, equipment, materials and resources are prepared and deployed in accordance with operational schedules.

    • Plan and coordinate the packing, transportation and collection of training equipment and materials for external training programmes.

    • Monitor training schedules and proactively plan operational resources to support current and upcoming training requirements.

    • Provide operational support during training programmes and coordinate timely resolution of operational issues to minimise disruptions.
