Job Propose:
To ensure the smooth execution of daily logistics and operational activities, supporting both customer service and operational requirements. The role is responsible for coordinating shipments, managing operational documentation, maintaining strong communication with customers and partners, and ensuring efficient service delivery to meet customer expectations and company operational objectives.
Key Responsibilities:
Operations Management
- Manage operational communications and ensure operational objectives are met effectively.
- Support the smooth running of daily operations including job creation in the system, tank allocation, and shipment coordination.
- Coordinate with shipping lines, depots, surveyors, and vendors to ensure timely shipment execution.
- Monitor vessel schedules, book shipments according to approved sailing schedules, and ensure tank certification compliance.
- Arrange container release orders and coordinate cleanliness inspection certificates prior to loading.
Customer Service & Coordination
- Maintain close communication with customers to update shipment status and readiness.
- Identify operational issues that may impact service delivery and implement appropriate solutions.
- Work closely with local and overseas offices, agents, customers, and vendors to ensure seamless operations.
- Support operational preparations requested by the commercial team.
Documentation & System Management
- Manage operational documentation including shipping instructions, bills of lading, and shipment records.
- Maintain accurate data entry and updates in the operational system (e.g., FileMaker).
- Issue arrival notices, container return notices, and related operational communications.
Billing & Compliance
- Prepare and issue invoices for freight charges, local charges, and pre-detention where applicable.
- Monitor container return status and follow up after free detention periods.
- Ensure discrepancies in invoicing are resolved promptly.
Customer Issue Resolution
- Address customer queries and complaints promptly and elevate when necessary.
- Ensure operational service standards and customer expectations are consistently met.
Qualifications & Experience:
- Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or related field.
- Minimum 2–3 years of experience in logistics operations, shipping, or freight forwarding.
- Experience in ISO Tank operations or container logistics would be an advantage.
