About the role

Our client is a global Pharmaceutical & Medical Device MNC seeking for an experienced Executive Assistant to provide high-level administrative and operational support to senior regional leadership. This role requires a proactive, detail-oriented professional who is comfortable managing calendars, travel, meetings, and confidential information in a fast-paced regional environment.

Key Responsibilities
  • Provide comprehensive administrative support, including calendar and diary management and meeting scheduling
  • Coordinate domestic and international travel arrangements as well as visa applications
  • Support internal and external meetings, not limiting to logistics arrangements, materials, and video conferencing setup where needed
  • Liaise with other international offices and other cross functional stakeholders
  • Manage expense claims, receipt tracking, and support vendor payment processes
  • Support ad hoc administrative tasks and projects as required
Requirements
  • Diploma in Business Administration or related discipline preferred
  • Minimum 10 to 12 years of relevant experience, including at least 5 years in an Executive Assistant or similar role
  • Strong experience in travel coordination, logistics, and expense management
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Proficient in Mandarin to support regional stakeholders
  • Highly organized, independent, and meticulous, with strong attention to detail
  • Able to handle confidential information with discretion and professionalism.
  • As the role involves active engagements with Greater China market, ability to converse in Mandarin would be highly preferred
