We are seeking an experienced Executive Admin to join Capital Human Resource Management Pte. Ltd in Singapore on a full-time basis. This is a strategic support role that will be fundamental to ensuring the smooth operation of our executive office and the efficient delivery of our HR management services. As an Executive Admin, you will provide comprehensive administrative and secretarial support to senior management, acting as a key coordinator between various departments and external stakeholders. This role is essential to maintaining the high standards of organisation and professionalism that our company is known for.
Managing executive calendars, scheduling meetings and coordinating diaries across multiple senior staff members
Preparing and distributing meeting agendas, minutes and supporting documentation to executives and stakeholders
Handling confidential correspondence and ensuring appropriate filing and record management systems are maintained
Arranging travel, accommodation and logistics for business trips and corporate events
Providing administrative support for board meetings, including preparing presentations and coordinating distribution of materials
Managing office supplies, equipment and facilities to ensure efficient day-to-day operations
Acting as a first point of contact for visitors and callers, demonstrating professionalism and discretion
Liaising with internal departments and external partners to coordinate projects and initiatives
Maintaining accurate records, databases and administrative systems using current office management software
Supporting the organisation of company events, conferences and training sessions as required
Minimum 3-5 years of proven experience in an executive administrative or secretarial role, preferably in a professional services or HR environment
Exceptional organisational skills with the ability to manage multiple priorities and deadlines simultaneously
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office management systems
Excellent verbal and written communication skills with strong attention to detail
Demonstrated discretion and ability to handle confidential information with integrity
Proactive problem-solving approach with the ability to work independently and take initiative
Strong interpersonal skills and the ability to build effective working relationships at all levels
Professional demeanour and presentation, with a commitment to providing exceptional service
Familiarity with HR processes and terminology is advantageous
Flexibility and willingness to adapt to changing business needs
