Job summary

Mark Chan Organization is seeking an events coordinator to plan, organize, and execute corporate events such as comedy nights, dinners, team-building activities, and roadshows. You will source venues, liaise with suppliers, and manage budgets and procurement.

The role requires strong organization, negotiation, and communication skills, with 1–3 years of experience in events or operations. Flexibility for evenings or weekends may be needed.

Qualifications

  • Diploma or Degree in Business, Event Management, Hospitality, or related field.
  • 1-3 years' experience in events, operations, or administrative role (fresh graduates with relevant internships may be considered).
  • Strong organizational and multitasking abilities.
  • Good negotiation and vendor management skills.
  • Proficient in MS Office/Google Workspace (Excel, Word, PowerPoint).
  • Excellent written and verbal communication skills.
  • Budget management and basic financial tracking.
  • Detail-oriented with strong follow-through.
  • Able to work under pressure and meet tight deadlines.
  • Flexible with working hours (some events may require evenings/weekends).

Responsibilities

  • Plan, organize, and execute corporate events (e.g. comedy nights, dinners, team-building, roadshows).
  • Source and liaise with venues, vendors, and suppliers (catering, AV, entertainment, photography).
  • Negotiate contracts, pricing, and terms with vendors.
  • Prepare event budgets, track costs, and ensure spend stays within approved caps.
  • Manage day-to-day office/operational logistics (supplies, facilities, vendor accounts).
  • Coordinate internal resources - manpower, equipment, transport - for events and daily operations.
  • Prepare event proposals, timelines, run-sheets, and post-event reports.
  • Handle procurement - POs, invoicing, payment follow-ups with vendors.
  • Maintain records of contracts, quotations, and vendor communications.
  • Reconcile final costs against budget and prepare summary reports.
