Job summary

BGC Group Pte Ltd is seeking a project coordinator to support the implementation of a mailbox management system, replacing Outlook-based handling of public correspondence. You will map workflows, engage divisions to identify gaps, and assist with BPR, change management and stakeholder engagement.

The role focuses on ensuring accountability, tracking and timely delivery across multiple workstreams in a hybrid Westgate office setting.

Qualifications

• Degree in any discipline (as listed in requirements).
• Proficient in Microsoft Word, Excel and PowerPoint.
• Basic AI and digital literacy, with ability to explore AI-enabled tools responsibly.
• Experience or knowledge in workflow mapping and process documentation.
• Strong project coordination, tracking and facilitation skills.
• Meticulous, structured and service-oriented with strong attention to detail.
• Comfortable working with multiple stakeholders and following up on action items.
• Interest in digital transformation, business process improvement, AI-enabled tools and public service delivery.

Responsibilities

• Support the project lead in implementing and scaling a mailbox management system.
• Map current and future workflows, including routing rules, handoffs, pain points, risks and requirements.
• Engage multiple divisions to identify process gaps and support business process re-engineering (BPR).
• Improve accountability, tracking, turnaround time and service consistency.
• Coordinate project trackers, milestones, feedback, follow-ups and implementation activities.
• Organise and facilitate meetings, workshops and stakeholder discussions.
• Prepare agendas, meeting notes, decisions and action trackers.
• Follow up with internal stakeholders on outstanding action items and deliverables.
• Support stakeholder engagement throughout project implementation.
