Job summary

Recruit Express Pte Ltd is seeking an organized administrator to support course registration, timetable planning, and special programmes within our academic administration team in Singapore.

You will assist with enquiries, maintain records, update intranet/web content, and liaise with students, faculty, and partners to ensure smooth delivery of curriculum processes.

Responsibilities

  • Assist students with course registration enquiries and provide guidance on course planning and academic requirements.
  • Process and follow up on course registration requests in accordance with established policies and procedures.
  • Maintain and update course registration records, documentation, and related databases.
  • Update and ensure the accuracy of information on the Intranet, including course outlines, course catalogues, curriculum structures, programme requirements, and academic guidelines.
  • Liaise with students, faculty, and internal stakeholders to facilitate course registration and curriculum-related processes.
  • Manage and provide timely update on the Intranet, including but not limited to Course Outline, Course Catalogue, Course Curriculum, Programme Structure, etc.
  • Demonstrate adaptability and responsiveness in managing changing priorities, stakeholder requests, and operational requirements.
  • Assist in coordinating semester timetabling arrangement with academic divisions, partner colleges and schools.
  • Support the collection, consolidation, and verification of teaching schedules, resource requirements, and faculty teaching allocations.
  • Maintain and update timetabling records, reports, and related documentation.
  • Liaise with stakeholders to resolve scheduling conflicts and ensure the timely completion of timetabling activities.
  • Assist in the administration of Double Degree, Second Major, Minor, and other special academic programmes.
  • Coordinate with partner colleges and schools on course registration, vacancy reservations, and student-related matters.
  • Maintain and update programme information, academic requirements, and curriculum structures on the website and intranet.
  • Respond to student enquiries and provide advice on programme requirements, course planning, and academic procedures.
  • Monitor and update student records, including tracking academic progression and programme participation.
  • Support the verification process for the award of Double Degree, Second Major, and Minor qualifications in collaboration with the Assessment Team.
  • Process programme withdrawal applications and maintain related documentation.
  • Prepare reports, statistics, and correspondences related to programme administration.
  • Liaise with internal and external stakeholders to ensure the smooth delivery of programme-related processes.
  • Provide administrative and operational support for projects, events, and initiatives under the Special/Joint Programmes portfolio.
  • Process and administer applications, including reviewing submissions and communicating application outcomes in accordance with established guidelines.
  • Assist in shared administrative duties to facilitate office operations such as managing the undergraduate e-mailboxes.
  • Review and improve work processes and maintain SOPs relating to scope of work.
  • Maintain proper documentation and archival of information.
  • Support ad-hoc projects and assist in events such as Open House and Convocation.
  • Any other duties as assigned by the Reporting Officer.
  • Foster continuous and effective communication with partner schools and other departments to ensure strategic decision-making that benefits all stakeholders
