Job summary

AccountStaff is seeking a skilled Order Management Specialist to support shipments across the Asia Pacific region. You will coordinate sales orders and liaise with customers, planners, and site logistics to ensure timely processing.

Responsibilities include maintaining SAP-based order management, monitoring LC compliance, and coordinating with Regulatory Affairs to address changes. A strong focus on data accuracy and cross-functional collaboration is required.

Responsibilities

• Provide Order Management and customer support for shipments in APAC region.
• Own order fulfillment and ensure timely processing.
• Liaise between customer, site and BSC team.
• Create sales orders and purchase orders in SAP.
• Ensure orders created in SAP within 48hrs.
• Provide order acknowledgments or notifications.
• Execute order changes in SAP after agreement with Planners, site logistics and customers.
• Weekly PO/SO comparison with BSC team.
• Daily delivery creation from batch yield.
• Generate weekly delivery report and verify auto PO/delivery orders.
• Track LC compliance and submit for bank collection.
• Support end-to-end registration samples requirements.
• Coordinate with shipping site for samples considering shelf life/regulatory
• Documentation and material allocation.
• Initiate RCT requests with Medical Directors for approvals.
• Master data setup and plant extension initiation.
• Upload FC for B2B products.
• Maintain clean demand signal, weekly review, and replenishment actions.
• Communicate supply constraints to AM and SCM.
• Identify critical shipments and escalate as needed.
• Partner with Regulatory Affairs to mitigate supply impact from regulatory changes.
• IQV risk assessment on FG inventory at sites; root-cause analysis for write-off risks >100k USD.
• Update supply planning parameter and master data maintenance.

Job description

• Provide Order Management and customer support for all shipments into and out of Asia Pacific region
• Takes responsibility for the order fulfillment process and ensure orders are processed in a timely manner.
• Act as the liaison between customer, supplying site and BSC team
• Create sales orders and purchase orders in SAP system
• Ensure orders are created in SAP system within 48hrs.
• Provide order acknowledgement or email notification if third party customer.
• Execute order changes in SAP system after agreement with Planners, site logistics and customers.
• Perform weekly PO/SO comparison and ensure order changes are aligned with BSC team.
• Perform daily delivery creation upon batch yield from supplying site
• Generate weekly delivery report and perform checks to ensure auto PO and auto delivery transactions are in order.
• Takes responsibility to ensure LC compliance and orders are closely tracked and processed timely for submission to the bank for collection
• Provide support to market on end to end registration samples requirements.
• Co-ordinate with shipping site and source for the right sample, taking into consideration the right shelf life, regulatory requirements, etc
• Perform necessary documentation and material allocation.
• Initiate RCT request and co-ordinate with Medical Directors in Market for necessary approval.
• Initiate master data set up and plant extension
• Upload FC for B2B products
• Maintain clean demand signal to the site, weekly review, and take action on replenishment planning exception (pull in/ push out/ expiry)
• Communicate supply constraints and issues to AM and SCM stakeholders.
• Identify critical shipment and escalate when necessary.
• Partner with Regulatory Affair to address and mitigate supply impact from Regulatory changes. Manage demand signal together with Site Planner and E2E to ensure material cut over, prebuild inventory and remaining shelf-life expectation are aligned to market regulatory guidelines.
• Conduct IQV risk assessment on FG inventory that still residing at sites. For all batches/events which are above 100k USD write-off risk, a root-cause analysis needs to be performed and a risk level needs to be assigned. The division which might cause the discard will need to be identified.
• Update supply planning parameter and master data maintenance.
