Job summary

Westside Emergency is seeking dedicated Client Service Coordinators to join our 24/7 veterinary emergency facility in Singapore. You will be the first point of contact for distressed clients, handling front desk duties, communicating wait times, and delivering empathetic support in high-pressure situations.

Qualifications

• Minimum 2 years of customer service experience (medical, veterinary, or hospitality setting preferred)

Responsibilities

• Greeting clients and managing check-ins for emergency and surgical referral cases
• Handling incoming calls, WhatsApp messages, and emails promptly and professionally
• Communicating wait times and triage priorities to clients
• Providing emotional support and clear explanations during stressful visits
• Communicate professionally with referring vet clinics and ensure referrals are efficient and clear
• Coordinating patient admissions, discharges, and payments
• Scheduling appointments for specialist and post-op rechecks
• Maintaining accurate client and patient records
• Processing invoices, insurance forms, and financial transactions
• Assisting veterinarians and nurses with client updates and communication
• Alerting clinical staff to arriving emergencies
• Ensuring clients are tended to as soon as possible
• Helping to ensure efficient movement of patients from reception into treatment
• Maintaining cleanliness and organization of the front desk area and consultation rooms
• Supporting the hospital’s service standards and client journey workflows
