Due to increased caseload and service expansion, Westside Emergency is seeking dedicated and compassionate Client Service Coordinators to join our fast-paced, highly supportive team at our 24/7 veterinary emergency and referral hospital.
Our Client Service Coordinators are the first touchpoint for pet owners experiencing stressful and emotional situations. As such, we are looking for individuals who can deliver exceptional service with professionalism, empathy, and calm under pressure.
The successful applicant must be comfortable working day/night on a rotating roster in our 24-hour facility. No overnight shifts required.
Westside Emergency operates 24 hours a day, 7 days a week, providing gold-standard emergency and critical care (ECC) and specialist surgical services to pets across Singapore.

Our Client Service Coordinators are essential to ensuring smooth hospital operations and an excellent client experience. Duties include (but are not limited to):
Greeting clients and managing check-ins for emergency and surgical referral cases
Handling incoming calls, WhatsApp messages, and emails promptly and professionally
Communicating wait times and triage priorities to clients
Providing emotional support and clear explanations during stressful visits
Communicate professionally with referring vet clinics and ensure referrals are efficient and clear
Coordinating patient admissions, discharges, and payments
Scheduling appointments for specialist and post-op rechecks
Maintaining accurate client and patient records
Processing invoices, insurance forms, and financial transactions
Assisting veterinarians and nurses with client updates and communication
Alerting clinical staff to arriving emergencies
Ensuring clients are tended to as soon as possible
Helping to ensure efficient movement of patients from reception into treatment
Maintaining cleanliness and organization of the front desk area and consultation rooms
Supporting the hospital’s service standards and client journey workflows
We are seeking candidates who are proactive, organized, and able to remain composed in fast-paced or emotionally charged situations. Ideal candidates will have:
Minimum 2 years of customer service experience (medical, veterinary, or hospitality setting preferred but not compulsory)
Strong communication and interpersonal skills
Empathy and the ability to support distressed pet owners
Ability to multitask and work efficiently under pressure
A professional, positive, and team-focused attitude
Strong organisational skills and attention to detail
Comfortable with shift work, including nights, weekends, and public holidays.
Singaporean / Permanent Residents only (due to MOM quota restrictions)
Experience in a veterinary or medical environment
Familiarity with veterinary terminology or practice management systems
Prior experience working in emergency or high-volume customer service settings
On-the-job training will be provided, with continuous support from senior staff and the management team.
