JOB PURPOSE

The role is responsible for providing administrative, operational and at times strategic support to the Corporate Services and Communication department to ensure efficient coordination, organization and execution of its mandate. It includes organizing office related activities to ensure smooth conduction of daily business operations.

KEY ACCOUNTABILITIES
Technical Support
  • Support the General Manager in preparing meeting materials, presentations, documents, memos, and other technical documentation required for business activities.
  • Monitor and track the status of technical matters/issues brought to the attention of the General Manager for review, guidance, or approval.
  • Monitor, track and report on the status of the ongoing projects/assignments and strategic initiatives to ensure timely delivery and support from the office of the General Manager.
  • Coordinate with internal and external functions to plan and execute business missions, technical logistics for events and meetings.
  • Draft and prepare emails, reports, memos, and other business correspondence with a focus on technical accuracy and clarity.
  • Maintain accurate records of technical documentation, meeting minutes, and action items for reference and follow-up.
  • Liaise with vendors, suppliers, and service providers to resolve technical issues and ensure service delivery and quality.
Administration Support
  • Support to the General Manager in efficiently managing his calendar, scheduling appointments, meetings and coordinating logistics.
  • Coordinate with the concerned functions to plan the business missions inside and outside the headquarters.
  • Draft/Prepare emails, reports, memos and other business correspondence as requested.
  • Provide general administrative support, including taking phone calls, handling inquiries, and managing the office calendar.
Meeting Briefings and Follow‑up
  • Assist in the timely preparation and submission of meeting agendas, briefing materials, and presentations, ensuring all technical requirements are met.
  • Manage the agenda of all meetings, taskforces, committees attended by the General Manager and provide a brief, as requested.
  • Follow up and track the action items resulting from the attendance of the meetings/committees/taskforce attended by the General Manager.
  • Ensure timely booking of the meeting rooms and communication with the attendees.
Reporting
  • Coordinate with the relevant stakeholders to prepare timely updates and progress reports on all department matters to keep the relevant staff members fully aware of all the Department/Division activities and developments.
ACADEMIC AND PROFESSIONAL QUALIFICATIONS
  • At least 3 year(s) of experience in Executive Support/Technical Support/Office Management/Project Management role preferably in similar institutions. Additional years of experience will be considered a plus.
  • Bachelor’s degree in Business Administration, Information Technology or similar discipline is a must.
  • Professional certificate in Project Management (PMP) or any other additional relevant certification is an added advantage.
  • Working proficiency with Microsoft Office and related applications.
  • Good communication and coordination skills.
