GENERAL ROLE

As the Receiving Clerk at Miraval The Red Sea, you play a key role in ensuring the efficient and accurate handling of all incoming deliveries to the hotel. This includes verifying orders against invoices, inspecting goods for damage or discrepancies, verifying the shelf life of products, and ensuring proper storage and distribution of items to relevant departments. They also maintain detailed records of all received goods and may assist with inventory management.

KEY RESPONSIBILITIES

Please note that the responsibilities outlined below are not exhaustive. Miraval The Red Sea colleagues continuously innovate in caring for the needs of the business, their guests, and their colleagues. As Receiving Clerk you will need to:

Receiving and Verification of Deliveries:

  • Unload incoming shipments from trucks and other delivery vehicles.
  • Inspect all goods for damage, spoilage, or discrepancies.
  • Verify received items against purchase orders, invoices, or packing lists to ensure accuracy in quantity, quality, and specifications.
  • Check temperatures of perishable goods to ensure they meet safety standards.
  • Confirm the shelf life of products to ensure received items are within permitted limits.

Documentation and Record Keeping:

  • Stamp, date, and sign off on all goods received.
  • Maintain accurate and up-to-date records of all incoming and outgoing shipments.
  • Document any discrepancies, damaged goods, or returns.
  • Prepare daily receiving reports for relevant departments (e.g., Accounts Payable, Purchasing, Cost Control, Executive Chef).
  • Issue Goods Received Notes (GRN) and Goods Return Notes (GRN) for rejected or incorrect items.
  • Post received goods into the hotel's ERP system.
  • Scan and upload receiving documents into the hotel document control system.

Storage and Distribution:

  • Organizing and storing received items in designated, appropriate areas (e.g., dry stores, cold rooms, chemical storage).
  • Transferring items after inspection to the concerned departments, either directly or through internal delivery systems.

Communication and Problem Resolution:

  • Communicating with suppliers, shippers, and internal departments (e.g., Purchasing, Accounts, Kitchen, Housekeeping) to resolve any discrepancies, issues, or delays with deliveries.
  • Notifying relevant parties about non-receipt or partial receipt of goods.
  • Coordinating returns for incorrect or unsatisfactory items.

Inventory Control and Management Support:

  • Assisting in periodic inventory audits to ensure accuracy between physical stock and system records.
  • Monitoring inventory levels and reporting any discrepancies or shortages.
  • Collaborating with the purchasing department on pending orders.

Area Maintenance and Safety:

  • Maintaining a clean, organized, and accessible receiving area at all times.
  • Complying with all hotel safety regulations and health and safety standards (e.g., HACCP for food items).
  • Operating warehouse equipment (e.g., pallet jacks, forklifts if certified) safely and efficiently.
