Role Context The Project Controls Specialist - Cost and Schedule provides integrated oversight of project schedule, expenditure, progress, and performance information. Working closely with project managers, engineers, planners, and site teams, the specialist helps ensure that approved baselines remain current and that potential delays or budget pressures are identified before they materially affect project delivery. The position combines schedule maintenance, cost analysis, reporting, and change monitoring to create a dependable view of project status. Strong data accuracy and coordination are essential because management decisions depend on timely and consistent information across cost, schedule, milestones, and risk.
Key Responsibilities
- Assist in developing detailed project schedules covering engineering, procurement, construction, and other delivery activities.
- Update and maintain approved schedules using Primavera P6, MS Project, or comparable project planning platforms.
- Monitor actual progress against baseline schedules and identify activities that are delayed or trending behind plan.
- Review upcoming milestones and support short-term planning to maintain alignment with overall project objectives.
- Coordinate schedule information with project managers, engineers, and site teams to improve reporting accuracy.
- Track project expenditures, commitments, approved budgets, and forecast costs.
- Compare actual financial performance with approved cost baselines and identify emerging variances.
- Support preparation and update of project cost forecasts based on current commitments, progress, and remaining work.
- Investigate cost discrepancies and coordinate with relevant teams to clarify underlying causes.
- Prepare daily, weekly, and monthly project controls reports covering schedule, cost, milestones, progress, and key performance concerns.
- Develop clear project dashboards and summaries that allow management to understand current performance quickly.
- Maintain accurate records of schedule updates, cost information, progress data, and supporting documentation.
- Gather progress information from project teams and validate reported completion percentages before inclusion in formal reports.
- Monitor important project milestones and escalates potential delays requiring management attention.
- Assist in identifying project risks that could affect cost, schedule, construction progress, or key deliverables.
- Maintain risk-related information and support development of practical mitigation actions.
- Track project changes and change orders and evaluate their potential effects on schedule and cost.
- Maintain change records so approved and pending modifications remain visible within project controls reporting.
- Coordinate with engineering teams to understand design changes that may affect planned dates or project expenditure.
- Work with site personnel to resolve differences between reported progress and actual construction status.
- Support reconciliation between project schedules, progress reports, cost information, and forecasts.
- Participate in project progress meetings, schedule reviews, cost discussions, and project controls workshops.
- Highlight adverse trends and provide supporting analysis to help project leadership establish corrective action.
- Monitor schedule performance and identify potential critical path impacts.
- Support project managers in assessing alternative sequencing or recovery options when activities fall behind schedule.
- Use advanced Microsoft Excel functions to organize, analyse, reconcile, and present project controls data.
- Prepare charts, trackers, reports, and other performance tools for management review.
- Maintain organized project controls records that support audits, governance reviews, and project closeout.
- Contribute to continuous improvement of reporting formats, cost tracking methods, and scheduling practices.
Ideal Profile
- Bachelor 's degree in Civil Engineering, Construction Management, Industrial Engineering, Finance, or a related discipline.
- Equivalent professional experience and strong practical project controls expertise may also be considered.
- Minimum 3 years of progressive experience in project controls, project planning, scheduling, cost estimation, or a related discipline.
- Previous experience within the construction or engineering industry.
- Saudi National as required for this position.
- Practical experience developing or maintaining project schedules.
- Proficiency with Primavera P6, MS Project, or comparable scheduling applications.
- Strong knowledge of Microsoft Excel for project data analysis and reporting.
- Understanding of project cost tracking, budgeting, commitments, forecasts, and variance analysis.
- Experience preparing structured daily, weekly, or monthly project progress reports.
- Ability to identify discrepancies between schedule information, cost data, and actual field progress.
- Familiarity with project risk and change management processes.
- Strong numerical and analytical capability with excellent attention to detail.
