Job summary

Chalhoub Group in Jeddah, Saudi Arabia, seeks an experienced Executive Assistant to provide high‑level support to the Managing Director. You will manage communications, calendars, travel, and complex scheduling while coordinating meetings, events, and VIP visits.

What you’ll be doing

Responsible for providing high‑level administrative and executive support, including managing communications, coordinating schedules and meetings, conducting research, preparing reports and presentations, handling information requests, and overseeing general administrative and record‑keeping functions.

What you’ll need to succeed
  • Executive Support & Communication Management
    • Serve as the primary point of contact between the Managing Director’s office and internal/external stakeholders, ensuring clear, professional, and timely communication
    • Screen, prioritise, and manage incoming calls, correspondence, and documents; respond independently where appropriate and elevate critical matters with recommendations
    • Review key documents and brief the Managing Director on priorities, risks, and required actions
  • Meetings, Events, & Project Coordination
    • Organise, coordinate, and participate in meetings, ensuring agendas, materials, and follow‑ups are effectively managed
    • Plan and manage executive‑level events and engagements as required
    • Coordinate and facilitate visits of VIP guests and stakeholders to the organisation
    • Plan, organise, and execute directives and special assignments on behalf of the Managing Director
    • Assist in presentations and other reports and documents as needed
  • Stakeholder Engagement & Relationship Management
    • Build and maintain strong professional relationships with senior management, external partners, and clients
    • Liaise effectively across departments and with external entities (customers, suppliers, partners) on behalf of the Managing Director
    • Act as an ambassador and role model representing the Group with professionalism at the highest levels
  • Reporting, Research & Strategic Support
    • Prepare reports, presentations, and briefing materials as required by Managing Director
    • Conduct research and compile data, including analytical and statistical reports
  • Calendar, Travel & Administrative Management
    • Manage the Managing Director’s calendar, schedule appointments, and ensure optimal time management.
    • Coordinate travel arrangements including itineraries, logistics, and expenses tracking in collaboration with relevant departments
    • Perform general office duties such as ordering supplies, maintaining records management systems
