Responsibilities
  • Manages and updates all project documentation through Aconex and internal systems.
  • Tracks, follows up, and closes pending shop drawings, WIRs, MIRs, RFIs, and material submittals.
  • Coordinates with discipline engineers to ensure timely review and closure of all submissions.
  • Follows up proactively with contractors on overdue or incorrect submissions.
  • Ensures all incoming and outgoing documents are logged, coded, and distributed correctly.
  • Maintains accurate registers for submittals, inspections, drawings, and correspondence.
  • Monitors document workflows and escalates delays to the relevant engineers and the PM.
  • Supports the site team by preparing weekly status reports on open and closed submissions.
  • Ensures all final approved documents are archived properly for handover.
  • Provides early warnings on bottlenecks, recurring contractor issues, and overdue actions.
  • Coordinates with the contractor’s DC to resolve mismatches, missing files, and workflow errors.
  • Ensures adherence to AECOM and client standards for document control and quality.
  • Assists the site team in preparing compliance evidence for audits and reporting.
