We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and office support for a major site supervision consultancy project in Riyadh, Saudi Arabia. The Administrative Assistant will be responsible for coordinating daily administrative activities, maintaining project documentation, scheduling meetings, managing correspondence, and supporting project leadership and multidisciplinary teams. The successful candidate will play a key role in ensuring efficient office operations, effective communication among stakeholders, and timely management of project records and documentation throughout the project lifecycle.
Provide day-to-day administrative support to the Project Director, Resident Engineer, and project management team. Manage incoming and outgoing correspondence, including emails, letters, memos, and project communications. Maintain and organize project files, records, reports, and documentation in accordance with project procedures. Coordinate meetings, workshops, and project reviews, including scheduling, invitations, agenda preparation, and meeting minutes. Maintain calendars and arrange appointments, travel, and accommodation for project personnel as required. Prepare, format, and distribute reports, presentations, letters, and other project documents. Ensure proper document filing and record management, both electronic and hard copy. Assist in tracking project submissions, approvals, and action items to ensure timely follow-up. Support document control and project administration teams in maintaining accurate records. Coordinate office logistics, supplies, equipment, and administrative requirements. Maintain contact lists and stakeholder directories. Handle confidential information and project documentation with a high level of discretion. Assist in onboarding new project staff and coordinating administrative requirements. Support the preparation of monthly reports, dashboards, and management presentations. Monitor office expenditures and support basic procurement and administrative processes. Coordinate with internal departments, clients, contractors, and external stakeholders regarding administrative matters. Assist with timesheet collection, leave records, and workforce administration activities as required. Ensure compliance with company policies, procedures, and project administration requirements. Support project closeout activities, documentation archiving, and record retention processes. Perform other administrative duties as assigned to support project operations.
Diploma or Bachelor's Degree in Business Administration, Management, Office Administration, or a related field. Minimum 5+ years of administrative experience, preferably within engineering consultancy, construction, or project management environments. Experience working on large-scale construction, building, hospitality, or infrastructure projects is preferred. Strong organizational and document management skills. Excellent written and verbal communication skills in English. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams. Experience using document management systems and project collaboration platforms is an advantage. Ability to prioritize multiple tasks and work effectively in a fast‑paced project environment. Strong attention to detail and accuracy in managing records and documentation. Professional demeanor with excellent interpersonal and customer service skills. Ability to maintain confidentiality and handle sensitive information. Previous experience in Saudi Arabia or the GCC region is preferred. Arabic language skills would be an advantage.
