Administration Assistant

We’re now looking for an Administration Assistant to join our Riyadh-based GCC Regional Headquarters — a pivotal support role at the heart of a fast-moving, international design environment. This is an opportunity to work alongside Senior Partners, Partners and project teams, helping keep the regional studio operating at its very best.

The opportunity

As Administration Assistant, you’ll be a central point of coordination for the GCC Regional HQ.

You’ll support Senior Partners and project teams with everything from diary and travel management to meetings, documentation and studio operations — often acting as the first point of contact for colleagues and visitors alike.

You’ll manage complex schedules, coordinate international travel, organise meetings and presentations, and ensure the studio environment reflects the standards of a world-class practice. You’ll also help connect activity across the wider GCC offices, supporting collaboration and consistency across the region.

This is a high-trust role requiring discretion, judgement and initiative — perfect for someone who enjoys being relied upon and making things run beautifully behind the scenes.

What you’ll be doing
  • Providing high-level administrative support to Senior Partners, Partners and project teams
  • Managing calls, emails and correspondence on behalf of senior stakeholders
  • Coordinating meetings, room bookings, catering, logistics and presentation setups
  • Maintaining studio and meeting room calendars
  • Managing complex GCC and international travel arrangements, including passport and visa support
  • Supporting diary management for senior leadership
  • Preparing and editing documents, processing translations, managing expenses and maintaining filing systems
  • Undertaking research as required to support project and leadership needs
  • Supporting coordination across GCC regional offices
  • Maintaining studio standards in line with housekeeping and office policies
  • Handling sensitive information with professionalism and discretion
  • Suggesting and implementing improvements to enhance the role and studio operations
  • Supporting ad-hoc duties as required to keep the regional HQ running smoothly
