Job summary

University of Doha for Science and Technology (UDST) is seeking an Inventory and Facilities Coordinator to develop and maintain storage inventory systems, tag assets, and ensure uninterrupted supply for UDST stores. Responsibilities

• Develop and maintain a storage inventory system to ensure uninterrupted supply.
• Assign and replace asset tags; track items across UDST stores.
• Meet supply chain objectives and reorder levels for general stores and spare parts.
• Manage inventory records and filing for all inventory stores under Facilities Management.
• Conduct biannual inventory checks and update databases (FAMIS and PeopleSoft).
• Lead inventory teams, ensure safety and security of items with Security Team.
• Identify gaps in inventory processes and propose improvements.
• Support documentation for internal audits as required by Head of Facilities Maintenance and Operations.
• Perform field inventory, locate missing items and reconcile records.
• Carry out miscellaneous duties as assigned.

Responsibilities

• Handle the development and maintenance of a storage inventory system to ensure uninterrupted supply.
• Assign inventory tags to designated assets and equipment, and replace damaged asset tags to track all items in the UDST.
• Meet supply chain objectives and Reorder Levels for General Supply Stores and Consumable Spare Parts.
• Manage inventory and filing systems for All Inventory Stores under Facilities Management and respective school Inventory Stores.
• Perform complete inventory checks of all stock and supplies twice a year and update to Database both FAMIS and PeopleSoft
• Oversee teams of inventory workers, housekeeping and ensure Safety and Security of all items in coordination with Security Team.
• Assess and improve flows of supplies through vendors assigned by procurement and report to Head, Facilities Maintenance and Operations.
• Ensure all documentation related to respective business unit's requisitions flows is complete, approved, accurate, Receipt and issue voucher filed correctly.
• Identify, analyze and address gaps in inventory processes.
• Coordinate and assist for the required documentation for Internal Audits as required by Head, Facilities Maintenance and Operations.
• Maintain inventory records by gathering inventory data, complete required forms and enter, delete and correct inventory, while adhering to UDST policies and procedures.
• Check the accuracy of records and location of property mid-annually, and prepare reports as requested to supply precise documentation of inventory.
• Perform field inventory by physically locating, identifying and counting assets in order to cross-check documentation system accuracy.
• Locate missing inventory, perform location transfers and make reconciliation exceptions when required, while maintaining accurate documentation to report to Head, Facilities Maintenance and Operations as per UDST protocol.
• Perform miscellaneous job-related duties as assigned.
